Snelling is currently seeking an Executive Assistant to the President of a university support organization in San Antonio.
The Executive Assistant supports and works closely with the President & CEO by providing executive administrative / business support and supervising the daily activities of the President’s Office staff.
She / he also works closely with members of the Governing Board on all related business matters and serves as the Administrative Secretary of the Governing Board.

ESSENTIAL DUTIES AND RESPONSIBILITIES include but are not limited to the following :
- Produces reports, routine correspondence, and general office management for the President’s Office
- Compiles and prepares various reports and research for the President and Cabinet Members
- Coordinates President’s Office activities and schedules; develop and recommend office procedures and systems; ensures smooth office operations
- Plans, coordinates, and supports Governing Board and Cabinet meetings and other meetings as requested by the President and CEO
- Schedules and arranges meetings, compiles and distributes materials, attends meetings, and prepares meeting minutes
- Drafts the President’s reports for the Cabinet and Governing Board meetings, and compiles and organizes all corresponding standing committee and staff reports for final distribution to all concerned parties.
The incumbent archives meeting packets of these meetings in chronological order for rapid access as needed.
- Reads, sorts, scans, and routes incoming mail and prepares outgoing mail for the President and CEO
- Locates and attaches appropriate files to correspondence to be answered by suitable staff
- Directs the creation and maintenance of filing systems for the President’s Office
- Takes dictation and transcribes notes during meetings, conference calls, etc.
- Files, faxes, and / or copies of correspondence and other records as required
- Receives and screens communications to the President & CEO, including telephone calls and email messages, and uses independent judgment to identify and those requiring priority attention;
prioritizes, channels, and facilitates communications from department heads, department coordinators, etc.
- Schedules appointments, maintains calendar, arranges travel schedules, and makes reservations for the President and CEO
- Prepares expense reports for President & CEO’s credit cards and monthly reimbursements
- Assists in preparing budgets for the President’s Office and Governing Board
- Performs other duties as assigned by the President & CEO

- Analyzing and resolving office administrative and procedural problems
- Performing technical, specialized, complex, and difficult office administrative work requiring the use of independent judgment
- Performing basic research and preparing reports and recommendations
- Overseeing projects or programs and / or supervising, monitoring, and evaluating the work of staff
- Organizing own work, coordinating projects, setting priorities, meeting deadlines, and following up on assignments with minimum direction
- Using initiative and independent judgment within established policy and procedural guidelines
- Providing complex office administrative support in areas of procurement, budgeting, report preparation, and staff communication
- Communicating effectively with co-workers, subordinates, superiors, the general public, representatives of public organizations, and other parties
- Rereferring external parties to the appropriate staff on inquiries or requests
LANGUAGE SKILLS :
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations
- Ability to write reports, business correspondence, and procedure manuals
- Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
