The highly successful candidate will keep the executive that they support organized, productive and informed, while also helping to run the day-to-day operations of the office.
You Will :
- Play a key role in running of the GoPuff office in San Francisco and Concord, CA
- Drive and manage project to establish key processes in our Retail business
- Perform an extensive array of administrative tasks (manage calendars, scheduling, book travel)
- Coordinate cross departmental duties and meeting for internal and external clients
- Assist in coordinating reservations and clients visiting the office
- Prepare responses to correspondence
- Create and modify documents such as Contract Request Forms, invoices, reports, memos, and letters using word processing, spreadsheet, etc.
- Maintain confidentiality in all aspects of third party and staff information
- Coordinate travel for Executive team members and visitors
- Identify, prioritize and resolve issues in a proactive manner
- Possess an ability to preemptively foresee needs of the office and Executive(s)
- Create the space and office plan to support our growing company
- Manage interaction with third parties to ensure site safety and adherence to policy.
- Work with various partners such as Facilities Team to support office maintenance projects as well as Tech team to ensure office technology is functioning properly
- Assist in coordinating new hire set-up; creating fobs / keys and setting up desk space for new employees in conjunction with the Onboarding team
- Assist with sorting and delivering incoming mail to all departments and employees as well as coordinating any outgoing shipments and mail
- Act as the jack-of-all-trades who supports the staff and keeps the office running smoothly and efficiently
- Jumps in to help out teams who are under a high workload and picks up critical tasks if needed
You Have :
- Bachelor's degree required
- 3+ years in administrative capacity with partners or executives preferred
- Advanced computer proficiency and working knowledge of Microsoft Office and Gmail
- Excellent oral communication skills, writing skills, organizational and problem solving skills
- Ability to interact effectively with internal management and various levels of external parties
- Attention to detail with the ability to manage multiple priorities and responsibilities
- Ability to work well either independently or as part of a team

KEY RESPONSIBILITIES The Executive Assistant provides high-level support to designated senior leaders within Korn Ferry Leadership and Talent Consulting.
Primary responsibilities include but are not limited to :
- Maintain daily schedules including internal meetings, conference calls involving multiple time zones, setting video conferences, and client meetings
- Coordinate travel schedules, both domestic and international
- Prepare and submit bi-monthly accurate expense reports for leaders and reconcile statements
- Update business development database (Salesforce.com) and prepare reports for review
- Serve as a central point of contact for administrative inquiries.
- Create PowerPoint presentations (pitch decks), Word documents (contracts), and other business documents
- Represent the organization and leaders to internal and external parties as required
- Assist with other duties such as file maintenance, photocopying, scanning, mailings, trouble shooting, and meeting planning
- Collaborate with peers and other colleagues to support the broader team; assist with standard administrative duties, such as preparing and proofreading documents and researching information.
- Support other colleagues when possible, providing timely answers to requests

EDUCATION, EXPERIENCE & OTHER QUALIFICATIONS
- A high school diploma or equivalent is required; a bachelor's degree is preferred.
- Minimum of three years of relevant work experience as an administrative or executive assistant supporting senior leaders in a business environment required, ideally in a professional services firm.
- Demonstrated track record of sound judgment and professionalism with the ability to work with senior level executives across multiple business lines and regions.
- High degree of interpersonal and professional savvy across varying levels of internal management, staff, clients, and associates.

Exciting opportunity for an experienced EA to grow with an innovative professional speaker and consultant in the DEI space.
The ideal candidate will provide top-level assistance They should be well-organized and be comfortable scheduling meetings and responding to emails on the executive's behalf.
