Summary :

The Executive Assistant to the EVP, Global Commercial Officer is a dynamic and insightful individual that operates as is a self-starter and will leverage their strong critical thinking skills to liaison with staff, executives, senior leaders, and externally to provide high level executive and office support with the goal of increasing the effectiveness and productivity of the executive.

This individual with excellent organizational & communication skills and highly collaborative style to administer executive office support such as executive calendaring, meeting planning & coordination, travel administration, and executive planning and project updates.

This individual will leverage their strong critical thinking, proactive nature to assist the executive with overseeing some day-to-day business activities as they may arise.

Responsibilities include :

  • Oversee daily operations in collaboration with employees at various levels, and perform administrative tasks such as managing calendars, generating correspondence, maintaining hard copies and electronic files, planning and coordinating annual corporate meetings, and scheduling facilities.
  • Assist executive to determine and prioritize business strategies based on their schedule and business demands.
  • Supports executive by taking over smaller responsibilities and handle other day-to-day items while attending meetings on behalf of the executive leader to write notes for them and lead strategic planning processes across an organization.
  • Support strategic business initiatives, from development through successful execution, under the guidance of executive and stakeholders.
  • Assist and communicate with executive in decision-making, program management, and initiative implementation
  • Proactively escalate and resolve potential issues by calling them to the attention of the executive and identifying potential solutions.
  • Support EVP in the preparation of board meetings and executive presentations
  • Coordinates travel schedules and arrangements, collects required travel documentation
  • Prepares and processes expense reports in accordance with established divisional travel policy guidelines; Ensures the timely processing of expenses utilizing the latest electronic processes for payment to corporate credit card
  • Provide executive with recommendations and consultation to improve teamwork across the organization
  • Improve current processes and optimize organizational procedures for efficiency and productivity.

Qualifications

Qualifications / Requirements :

  • At least 3 years of experience in business management or executive support role
  • Proficient in Microsoft Word, Outlook, PowerPoint, and Excel. Knowledge of all basic office equipment required
  • Experience in organizing and directing multiple teams and departments
  • Experience in planning and leading strategic initiatives
  • Versatile abilities and extreme dedication to efficient productivity
  • Consulting experience with a focus on operations management
  • Proven success in a project coordination role
  • Nimble business mind with a focus on developing creative solutions
  • Strong project reporting skills, with a focus on interdepartmental communication
  • Ability to work in a flexible manner in line with the organization’s objectives and willingness to undertake other duties as reasonably requested
  • Excellent verbal, written, and presentation communication skills
  • Proven ability to develop and lead the implementation of communications strategy, policy, and operational plans, to a successful outcome
  • Strong financial analysis, budget planning, and management experience and skills

Additional Requirements :

Hybrid : This position has been designated as hybrid, generally contributing from the office a minimum of three days per week.
