Lead Senior Event Planner
The LearningHub, within the Deloitte Hermitage Office, is private event space that will hold Deloitte professional training programs and events.
This position is responsible for the strategic planning and execution of Deloitte meetings with a primary focus on meetings delivered at the Hermitage LearningHub.
These meetings require advanced meeting planning expertise and demand a significant amount of interaction and communication with senior leadership as well as internal stakeholders.
Lead Senior Event Planners own various processes and provide mentorship. A Lead Senior Event Planner will collaborate with colleagues on projects related to processes, documentation, resourcing, technology and event tools, planning, automation, vendor management and client service.
A Lead should drive MES’ business priorities forward, innovate new meeting solutions, and deliver distinct client experiences.
Leads are expected to identify opportunities to elevate our brand and service model and are expected to manage high-profile events to ensure flawless execution.
Lead Planner Responsibilities :
- Lead in the development and implementation of process improvement strategies and initiatives including but not limited to, identifying efficiencies, best practices, and enhancements.
- Collaborate with other Leads within MES to create, consolidate, and maintain onboarding and training materials, SOPs and process documents.
Take an in-depth look to identify processes to be streamlined.
- Support management with onboarding, mentoring, and training team members.
- Lead Senior Event Planners should own at least one specific process and / or portfolio and continue to refine and streamline to ensure efficiency
- Serve as a subject matter expert in a Meeting and Events Services’ area of focus
Event Planning Responsibilities :
- Deliver exceptional client service with a consultative, solutions-oriented approach
- Forecast management and impeccable data integrity
- Strict adherence to meeting protocols (cost saving measures, risk policies, contract approvals)
- Liaison between meeting sponsor and sourcing / scheduling / registration / office operations / vendors / closing; understand and interpret meeting objectives and navigate through the meeting teams’ processes on behalf of meeting sponsor
- Frequent interaction and communication with firm leadership and external clients through meeting registration and coordination
- Rooms management to minimize financial impact to the firm regarding meeting attrition and Hub utilization
- Serve as single point of contact for both the sponsor and the hotel / meeting venue / Hub to include coordination with the One Team on-site
- Develop, review, and approve detailed specifications with hotel / Hub operations Office One Team, conference services (if events are hosted at a nearby hotel), rooms, catering (Hub and offsite), conference set up, AV, business center, accounting, IT / Communications
- Manage contracts outside hotel provided services when required or cost savings can be leveraged (production, event décor, entertainment, transportation, team building, IT, special supplies / materials, temp assistance)
- On-site support for designated meetings to ensure successful meeting execution
- Audit and prepare invoices for processing
- Post meeting reporting and reconciliation
- Frequent interaction with Hotel / DMC / Hospitality Industry sales and operation professionals, supporting Deloitte’s partnerships in a professional manner.
Qualifications
- Specialized knowledge in contracting, organizing, and managing all logistical aspects of complex meetings; 6+ years of experience
- Excellent communication skills (written and oral) with a consultative style
- Ability to build relationships and trust quickly with leadership and stakeholders
- Project management ability to understand scope, create timelines and budgets, and deliver on time to budget
- Solutions & results oriented
- Ability to work independently on multiple projects simultaneously and under deadlines
- Ability to handle high volume workload and fast pace; manage stress
- Strong working knowledge of Word, Excel, Outlook, PowerPoint, and Zoom is preferred
- Excellent customer service
- Ability to team and balance the needs of the operation as well as meeting sponsor requests
- BA / BS preferred

Job Responsibilities
- Review / update material planning and manage material availability : planning of raw & packaging materials, ensuring that the production plan can be executed.
- Creation of purchase orders and inform production planning on timelines. Review the 12wk outlook for the material plan, taking into account capacity agreements and storage capacity on the site.
- Support the material controllers and the site with analyses when needed to create visibility
- Manage MRP exception messages.
- Drive gate keeping meetings with the other departments and support with providing relevant KPI’s to measure performance.
- Provide impact analysis when needed to show the impact of decisions or scenarios to the plan. Support on reporting where necessary.
- Reviewing with Supplier flexibility to support Material Planning with respect to supplier capacity and suppliers 2nd tier material availability
- Link to Procurement and Inbound Supply Chain Manager to improve Supplier Performance and escalate in case of structural material availability issues (& inform stakeholders).
- Balance service level (OTIF) and inventory targets (OWC) of raw and pack materials, whilst understanding cost impacts on manufacturing.
- Manage reduction and prevention of slow and obsolete stock (raw & pack). Ensure rework and scrapping at the site / primary DC.
Job Requirements
- University Education (e.g. Engineering, Business Administration, Economics, Supply Chain Management, Logistics or other relevant discipline) with Degree or equivalent qualification
- Good problem-solving skills, able to identify and structure issues, run accurate analyses and synthesize recommendations
- Fluent and able to work in English. Understanding and sensitivity to different cultural behaviors.
- At least 3-year experience in Supply Planning in FMCG, Paint / Coating or Retail
- Expert on Supply Planning in SAP and BI and experience on IBP processes, Advanced Supply Planning tools and Project and Change Management skills
