Manager, Warehouse

Summary :

Supervises warehouses, material management and warehouse staff under the direction of Procurement & Logistics Department management.

Roles and Responsibilities :

Inventory Management Responsibilities :

Manages a small team of warehouse supervisors and agreement personnel that is charged with ensuring that all inventory transactions are complete, and monitors, analyzes and takes corrective actions where appropriate.

Maintains and assures adequate materials supply for running repairs and equipment at all locations including outlying facilities.

  • Ensuring material availability to all user groups and collaborates with necessary personnel to reduce or eliminate stock outs and out-of-service equipment,
  • Tracking, tagging, and overseeing the receipting, storage, and issue of Capital Spares campaign parts.
  • Collaboration with Planning and Procurement to resolve vendor-related problems about timing, quality, quantity, and delivery.
  • Collaboration in the planning and execution of routine maintenance, preventative maintenance, overhaul campaigns and other special projects.
  • Management of repair and returns to vendors and use of core tracking procedure.
  • Material audits.
  • All safety activities within the warehouses and other satellite facilities.
  • Assists with the development and implementation of systems and procedures to support material management.
  • Compliant material sale / scrap activities.
  • Trucking and routing management.
  • Establishes and / or implements KPIs and responsible for creation and tracking of daily KPI reports.
  • Responds to daily problems and changing priorities at warehouses and off-site storage locations and plans improvements in warehouse and distribution operations.

Systems of Record Responsibilities :

  • Assures all work is conducted within the currently approved systems of record or, where manual processes are employed, that documents are properly maintained in conformance with document control policies.
  • Provides feedback and input on planned or new systems.

Training Responsibilities :

  • Seeks out and gains training to increase proficiency in material planning, material management, material procurement, or other appropriate topics.
  • Assures that team members are current with all required training and are engaging in development for future roles within the department and beyond wherever possible.

Develops and or delivers training where needed to advance the transparency and efficiency of the department.

Assures all members of the team have Development Plans, Goals, and Rated Accomplishments

Leadership Responsibilities :

  • Identifies, distributes, and balances the team’s workloads and tasks in accordance with established workflow policies and procedures, skill levels and / or specializations.
  • Expands expertise horizontally or vertically in logistics and procurement and encourages the development of team members expertise.
  • Manages team members including coaching, mentoring, advising, career development, and succession planning.
  • Reviews, corrects, and provides feedback on the work of the Manager’s team or work performed under Manager’s direction by other contributors.
  • Collaborates with and advises colleagues on a regular basis to continuously improve the Procurement & Logistics Department.
  • Provides advice to the leadership of the Procurement & Logistics Department as a member of the Procurement & Logistics Management Team.

Other Responsibilities :

  • Plans, assigns, tracks, reports on team activities with the end result being professional, transparent, efficient execution of duties.
  • Collaborates with customers and client departments.
  • Develops and maintains professional working relationships between the Manager’s team and key business partners to fully understand business needs, plan for future work, advise on engagement with Logistics, and mitigate interdepartmental problems.
  • Plans, prepares, leads, and organizes customer service meetings for clients within the team’s portfolios. Runs reports to track the team’s progress in order to ensure deliverables and timelines are met.
  • Considers and promotes strategic solutions to create efficiencies and greatest value for NJ TRANSIT.
  • Works on special projects assigned by the Director or Senior Director.
  • Performs other duties as assigned by Procurement & Logistics Leadership.

Education, Experience and Qualifications :

Education :

  • Bachelors degree and 10 years of related experience or any equivalent combination of education and experience.
  • Masters degree, Professional License, or Certification preferred.
  • Demonstrated experience managing a team of professionals.

Technology :

  • Must be able to work proficiently in the following Systems of Record : ECMS, Microsoft Office Suite (Outlook, Access Databases, Excel Spreadsheets, Word, PowerPoint, Project, Teams), Adobe, Oracle ERP, Kronos, Bid Express, and other systems in use or under development.
  • Systems may change over time.

Communication :

  • Must be able to perform active listening and have excellent written and verbal communication skills required.
  • Must be able to develop and deliver executive level presentations.

Leadership :
