POSITION PURPOSE
The Security Administrative Specialist oversees all aspects of Security investigation support for one or more specific customers, contracts, and / or government agencies.
Additionally, the Security Specialist serves as a point of contact for Security for internal and external customers involved in the Background and Security screening processes.
The Security Specialist also maintains a personal case load of assigned candidates, performing all the essential functions and basic duties.
ESSENTIAL FUNCTIONS AND BASIC DUTIES
Security Processing :
- Provides required Background Information (BI) forms, instructional material, and related documents to each candidate within 24 hours of assignment.
- Provides instructional material on the Electronic Questionnaire for Investigation Processing (eQIP) and Fingerprint submission to each candidate.
- Proactively monitors progress and completion of BI forms, eQIP, Fingerprints, and related forms as required by the specific contract / customer.
- Reviews BI and related forms for accuracy and compliance, and forwards completed forms to the Team Lead for quality control and submission.
- Records candidate progress throughout the Security process through timely and accurate data entry in multiple electronic trackers and the ATS (Salesforce).
- Coordinates with each candidate’s Recruiter and assigned Credentialing Specialist to ensure shared visibility and understanding of the candidate’s status, and to enhance the candidate experience.
Candidate Engagement :
- Actively and regularly engages with each assigned candidate in order to build trust, improve communication, and reduce processing delays.
- Encourages and motivates candidates to complete BI forms within 72 hours of receipt.
- Encourages and motivates candidates to complete eQIP within 3 days of receipt.
- Actively assists candidates throughout the process by offering assistance, answering questions, and / or scheduling telephonic or video call assistance sessions.
- Conducts retention and engagement with each candidate via phone, email, and text not less than weekly from initial assignment through completion of the Security process.
- Notifies the Team Lead of any candidate issues or conditions which might impact employability, such as voluntary disclosure of negative or derogatory information by a candidate, loss of contact (unresponsive candidate), etc.
PERFORMANCE MEASUREMENTS
- Internal operating system tracking is current, and complete. All required records are up-to-date, accurate, and in compliance with company policy.
- Security functions are conducted in accordance with established Company policies, Federal law and policy, and agency or contractual requirements.
- Candidates complete required actions within timelines established by LSGS.
- Professional relations exist with assigned candidates. A positive image of the Company is projected.
- Candidates are treated professionally and well informed of the status of their Security processing.
- Good coordination and effective working relations exist with peers and partners in other departments. Works collaboratively and provides assistance as needed.
QUALIFICATIONS
EDUCATION / CERTIFICATION : Associate’s degree required (Associates or higher degree in Business Management or Human Resources preferred).
REQUIRED KNOWLEDGE : Familiarity with security requirements for Department of Defense and / or Department of Homeland Security contractors (eQIP, SF85P / SF86)
EXPERIENCE REQUIRED :
Military or Federal Law Enforcement background preferred (includes Military Spouses).
SKILLS / ABILITIES :
- Communicates and works well with others in a team environment.
- Good customer service and public relations.
- Knowledge of related computer applications (MS Office).
- Excellent phone skills.

Job duties include but are not limited to :
1) Performing security guarding duties according to the main Post Orders and the separate instructions on Patrol. 2) Controlling Access and egress to and from Manheim premise making the appropriate security checks and entries in the occurrence and ensuring authorized entrance and departure of people and property.
3) Conducting patrol within and around the Manheim premises using a Manheim Rover Patrol vehicle. 4) Record detailed Pass down of daily activities in Vision.
5) Reporting immediately to the duty security supervisor any : - Incidents and threats such as intruder, attempted key theft, fire, Medical - Suspicious objects or behavior - Irregularities, dysfunctional or damaged equipment, property and facilities - Potential safety hazards, trip hazards, water leaks, etc.
6) Staying alert to make and / or acknowledge and respond to radio calls at any time. 7) Taking good care of all security equipment, facilities, and keeping the guardhouse / surroundings orderly and clean.
8) Strictly maintain the line of command ensuring to first communicate with the duty supervisors any compliant, safety concern, or report.

The is seeking a service-oriented full-time Security Officer to join their team! The mission of the Campus Safety Office is to preserve a safe, secure campus environment where diverse social, cultural, and academic values are allowed to develop and prosper through a combination of reactive, proactive and educational safety services.
- Patrolling the campus on foot or by motor vehicle to ensure protection of all campus faculty, staff, students, and visitors, as well as all campus buildings, structures and property.
- Responding to all accidents, crimes and complaint calls occurring on campus property.
- Assisting motorists, students, employees, and visitors on campus.
- Answering calls for assistance, escorting students and others as requested.
- Maintaining necessary campus security records and reports.
- Enforcing traffic and parking regulations.
- Providing security at a variety of special functions held on campus.
- Administering first aid as necessary and call for emergency medical services.
- Assisting in implementation of safety / security programs for faculty, staff and students.
- Assisting in the monitoring of computerized security systems.

Minimum Qualifications :
- High school diploma or equivalent.

- Possess and maintain CPR and First Aid certification within 90 days of hire.
- Possess and maintain State of Florida Class D’ security license within 90 days of hire.

Working Environment :
- Front-facing customer service role on-campus (inside and outside).
- Work requires exposure to potentially dangerous situation, requires physical strain involving walking and standing for extended periods of time (must be able to run short distance, walk a flight of stairs, lift up to 50 pounds), and exposure to the elements.
Work Schedule :
The Campus Safety Office provides 24-hour response to call for service, provides routine and directed patrol activities, parking enforcement, and preliminary investigation of most campus incidents.
The Security Officer roles are full-time 12-month appointments, scheduled to work 40 hours per week, 2080 hours a year.
This position is scheduled to work 2nd shift, 3 : 00pm - 11 : 00pm, with Tuesday and Wednesday off*.
As a condition of employment in this position, the incumbents will be subject to call-in outside of regular hours in order to respond to emergencies, including the preparation and maintenance of College facilities, grounds, systems and services during inclement weather crises.
