Job duties
- Answer incoming calls, received on a multi-line phone system, in a cordial, professional and timely manner. Transfer calls to appropriate individuals.
- Greet clients and visitors to the office with warmth and professionalism. Notify employees of visitor’s arrival when necessary.
- Provide high level services to staff, clients and guests.
- Communicate with manager and client on job or deadline issues.
Handle additional projects as assigned.Handle sensitive and / or confidential document and information.
Job qualifications
High school diploma or equivalent.
Minimum of two-year receptionist, switchboard or administrative assistant experience required preferably in a banking, legal or large corporate environment.
Exceptional customer service skills to effectively great and communicate with callers and visitors.
Ability and willingness to learn in-depth knowledge of the company (the business and employees) to more efficiently handle calls and great visitors.
Ability to work in a fast-paced team environment.
Ability to effectively and professional communication with co-workers and clients.
Attention to detail with an emphasis on accuracy and quality.
Intermediate computer skills including Microsoft Word and Excel
Ability to prioritize work to balance multiple projects and deadlines.
Excellent verbal and written communication skills.
Self-motivated and the ability to multi-task

Position Overview
As part of New York City’s plan to end homelessness, the Department of Homeless Services established Homebase Homeless Prevention Community Resource Centers throughout New York City.
Homebase programs are designed to assist families and individuals who are homeless or at imminent risk for becoming homeless to develop a plan for long-term housing stability.
Homebase helps clients navigate the complicated eviction process, offers financial and money management counseling, helps clients obtain public benefits, provides short-term financial assistance, and helps with relocation if necessary.
As Homebase Receptionist, you’ll be the first person that our clients encounter when visiting or calling our program, and it’s critical that you are helpful, warm, and inviting to clients who are experiencing the crisis of imminent homelessness.
You’ll be responsible for monitoring the flow of people entering the office and managing a heavy call volume, providing relevant program information and directing callers and visitors as appropriate.
Your responsibilities will include :
Maintaining a neat, clean, and organized reception area.
Welcoming visitors, determining the nature of their visit, and announcing their arrival to appropriate team members.
Using electronic databases to determine clients’ community district and whether they have prior history with NYC shelters and / or Homebase.
Scheduling appointments for clients and referrals from external agencies with Homebase team members and with on-site representatives from other agencies, updating the Program Intake Appointment Calendar.
Receiving, sorting, and delivering incoming mail and packages.
Requirements
High School Diploma or GED required.
Excellent organizational and communication skills, with ability to effectively perform multiple tasks in a fast paced and demanding environment.
Ability to comprehend and follow oral and written instructions.
Ability to take the initiative and be dependable and resourceful.
Possess an understanding of team concepts.
Bi-lingual (English / Spanish) a plus
Valid NYS driver’s license a plus

New York Congregational Nursing Center -
Position Summary :
Courteously and professionally meets and greets all visitors, residents and staff who enter the Nursing Center. Directs them to log in, presents visitor badge and contacts the appropriate staff member to escort them within the facility.
Handles a high volume call board and assists callers with information as necessary and appropriate. Protects the confidentiality of resident and staff information.
Participates in the fire safety program. Monitors the comings and going of residents in the lobby area.
- Answers high volume of telephone calls forwarding calls and answering inquiries appropriately.
- Meets and greets, in a courteous and professional manner, all visitors, residents and staff.
- Actively participates in the Security and Life Safety Programs for the facility May need to contact 911 and interact with members of the various NYC emergency services.
- Monitors residents access / egress to the building and intervenes as necessary to assure resident safety.
- Is alert to safety and / or other types of hazards.
- Monitors the security cameras as needed and alerts appropriate staff when concerns are noted.
- May float to other departments and assist with clerical or other duties as assigned.

- Reports to work on time and work the full-time schedule.

General Qualifications :
- 6 mos. office clerical / receptionist experience required
- 3- 6 mos. experience handliing high volume phones or call board
- Knowledge of fire / safety procedures preferred.
- Basic knowledge of software programs such as Word, Groupwise helpful.
- Excellent interpersonal and communication skills.
- Flexible and self motivated individual.
- Able to act quickly and make good judgements in emergency situations and concerning the various areas of the Front Desk responsibilities
