Responsibilities

  • Monitors all incoming public traffic and assists with job applicants.
  • Receives guests and other in a courteous, polite and warm manner.
  • Respond to the needs of residents, families and visitors by providing immediate assistance.
  • Appropriately and accurately prepares and distributes routine correspondence.
  • May provide clerical and administrative support to the various departments.
  • Receive and follow reception schedule / instructions from supervisor and as outlined in established policies and procedures.
  • Operate paging / telephone system as required.
  • Answer telephone, determine nature of call and relay information or route call as appropriate.

Qualifications

Ability to answer the telephone, take detailed messages, respond to verbal inquiries, take direction from different sources, handle multiple tasks and be organized in a fast paced environment.

Typing of 30-40 wpm may be required if secretarial support is needed at the community.

  • Must enjoy working with the elderly and able to accept constructive criticism. Ability to interact with residents who are highly susceptible to common illness without posing additional health risks and must maintain a professional appearance.
  • Knowledge of and demonstrated skills in general office procedures.
  • Strong organizational skills; oral and written communication skills.
  • Able to project a professional image.

OVERVIEW OF THE ROLE :

The primary responsibility of your job position is to direct the overall administrative activities following current federal, state and local standards, guidelines and regulations that govern long term care and assisted living facilities.

KEY RESPONSIBILITIES :

Billing and Collections : 30% time

  • Prepare financial and statistical reports, as directed
  • Prepare and mail monthly statements timely
  • Maintain electronic and hard copy billing records for all payer sources
  • Maintain Medicaid billing records for 5615’s - alphabetically, by year
  • Monitor and collect Accounts Receivables reporting delinquent accounts to the Nursing Home Administrator

Resident Trust Oversight : 20% time

  • Provide oversight of Resident Trust account per regulations and company policy
  • Provide each resident with a quarterly accounting of funds managed by the facility
  • Comply with all State and Federal regulations
  • Oversight of business office document archive

Collaborative : 25% time

  • Direct and coordinate the functions and activities of the business office
  • Involved with residents, personnel, visitors, government agencies / personnel, etc., under all conditions and circumstances
