Job Summary

This position maintains, organizes, oversees all Learning Abroad finance and administration, including, but not limited to, course registration and student accounts, provider / partner invoicing and payments, Concur set-up and authorizations, and office and program budgeting.

This position collaborates with the Learning Abroad management team, Office of Global Engagement ( OGE ) finance team, and offices across campus.

We send approximately students abroad annually in a variety of majors, participating in faculty-led, affiliate, exchange, and Utah Asia Campus programs.

Responsibilities

Management Team

  • Sits on and participates in the Learning Abroad Management Team.
  • Advises on and enforces Learning Abroad and University policy and procedure.
  • Assists in establishing and implementing strategic plans, goals, and processes using best practices for higher education and international education business and finance officers.

Financial & Administrative Management

  • Overall financial and administration management of Learning Abroad.
  • Manages hiring, payroll, HR and Kronos.
  • Sets up payments to vendors and other offices on campus, including transfers of departmental compensation for faculty-led programs.
  • Develops, analyzes, and presents timely and accurate data and information to be used in fiscal planning, budget decision making, and resource allocation.
  • Assists Budget and Resource Planning personnel in defining the content and scope of budget and resources for projects and assignments.
  • Trains staff on budgets, fiscal timelines, Concur, and other finance-related matters.
  • Prepares statistical / financial studies and cost / income forecasts that are used in addressing issues that have budgetary impact.
  • Assists in the preparation and analysis of the department’s annual operating budget.
  • Assists in the maintenance of the budget system and budget database.
  • Maintains, reconciles, and closes out accounts.
  • Establishes budgets and program costs international exchange programs.
  • Pays invoices for services rendered in support of learning abroad programs.
  • Prepares and processes purchasing, finance, and travel documents, including wire transfers, cash advances, faculty travel requests, campus orders, deposits, etc.
  • Manages varied student accounts including student tuition accounts.
  • Coordinates and sets up course registration for programs.
  • Reviews and reconciles University procurement and purchases and monthly management statements.

  • Responsibility for a university purchasing card and managing FERPA protected information.
  • Develop and distribute written and electronic instructions and processes

  • Manages Terra Dotta payment processes and movement of funds.

  • Post scholarships to outgoing student accounts.
  • Coordinate with Office of Financial Aid and Scholarships to ensure that waivers comply with local, state, and federal regulations.
  • Communicate with students regarding status of scholarship distribution.
  • Trouble shoot with appropriate administrative and financial offices to ensure that students receive scholarship funds.
  • Assists with the communication of scholarship application results.
