What is the role about?
Reporting to the President, APAC the successful candidate would be required to provide high level executive support and perform the full range of secretarial, administrative and office facilities support, including prompt and effective communication with internal and external stakeholders.
No two days are the same in this role, as we are a fast-paced business with big plans in the horizon.
From managing the calendar and schedule of the President, APAC to efficiently completing all allocated administrative tasks from across the business, such as compiling meeting minutes, drafting reports and board papers, to being involved office management duties, there is always something to keep the successful candidate engaged.
Some of your key responsibilities :
- Complex diary management, including planning time for key events, meetings and written submissions with internal and external stakeholders in consultation with the President, APAC
- Managing general correspondence to internal and external stakeholders on behalf of the President, APAC
- Management and preparation of complex and often confidential documentation including agendas, minutes, meeting papers, presentations and board reports in-line with organisational expectations and requirements
- Provide high level administrative support and coordination for the President, APAC, including records management and the development of presentations as required
- Oversee office facilities management, liaising with the building management, third party contractors, coordinating office stock supplies, and printing and distribution of stakeholder collateral
- Ability to exercise discretion and apply judgement to flag process anomalies and make decisions on which process to follow
- Coordinate meetings and events whether in person or virtual, assist with greeting and assisting stakeholders visiting the business
- Coordinating travel arrangements and support necessary visa requirements as required in an accurate and timely manner
- Reconciliation of monthly expenses, managing internal system approvals
- Attend to high level, urgent and confidential matters, whilst maintaining the highest level of confidently and discretion
- Ability to work flexibly to suit the business operation hours which may span outside the traditional 9am 5pm

Job Summary :
Reporting to Chief of Staff and the Interim Chair of the Department of Medicine, the Executive Assistant will provide personalized and confidential administrative support to the department Chair with discretion and independent judgment.
The candidate will interface with senior and administrative staff members and a wide array of University and Hospital offices, faculty members, corporations, and government agencies.
Responsibilities
- Provide executive-level support for the Interim Chair and senior administrators; resolve problems independently, relieving the Administrators of matters of detail.

Your Mission :
Medidata Executive Assistants (EAs) are skilled professionals responsible for performing administrative duties of advanced degrees of complexity for the assigned Executive.
The EAs have customary responsibilities such as managing correspondence which is often of a confidential nature, communication on behalf of the Executive, and acting as a gatekeeper, in addition to handling special projects such as coordination of complex meetings.

The salary range posted below refers only to positions that will be physically based in New York City. As with all roles, Medidata sets ranges based on a number of factors including function, level, candidate expertise and experience, and geographic location.
Pay ranges for candidates in locations other than New York City, may differ based on the local market data in that region.
The base salary pay range for this position is $66,000 - $88,000.
Base pay is one part of the Total Rewards that Medidata provides to compensate and recognize employees for their work. Most sales positions are eligible for a commission on the terms of applicable plan documents, and many of Medidata’s non-sales positions are eligible for annual bonuses.

The Executive Assistant supports one consultant by providing ongoing assistance in all aspects of client engagements and playing an ownership role in the oversight of administrative tasks.
The role requires an individual capable of planning, executing and finalizing projects according to strict deadlines. This includes acquiring resources and coordinating the efforts of team members and clients in order to deliver projects according to plan.

- Arrange and coordinate complex and detailed travel plans, itineraries, and agendas for both consultants and external parties.

Search Coordination
- Serve as client liaison assisting consultant in maintenance of daily search activities. Acts as the single point of contact for all key logistical matters.
- Communicate directly, and on behalf of the consultant, on client and internal mandates. Provides a bridge for smooth communication between the consultant and external / internal team members.
- Take a proactive approach to assist with various client needs during a consultant’s absence.
- Work closely and effectively with consultant and research stakeholders to ensure deadlines are met and client and candidate needs are served.
- Produce high quality client deliverables, ensuring completion within designated timeframes. Successfully complete critical aspects of deliverables with a hands-on approach.
- Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on time-sensitive projects to successful completion.
- Assist accounting department with billing, client invoicing, and receivables.
- Build positive relationships and interface regularly with high-level executive involved in highly confidential projects.
Business Development
- In partnership with the Consultant, create and own the process to drive the Consultant’s business development strategy.
- Collaborate with consultant, research and others on the team in the production of high quality marketing presentations and materials and holds responsibility for the finalization of materials for pitches and events.
