Full-Time Employment Opportunity Event Coordinator (2 Positions)

The Seattle Christmas Market is seeking two driven, and enthusiastic Event Coordinators, who will report directly to SCM’s General Event Manager.

Successful candidates for this role are creative thinkers who understand the specific needs of the company’s seasonal event while keeping in mind the larger components necessary for its completion.

The candidates are confident leaders and efficient planners. Not only do successful candidates need to be proficient in negotiating, but also have the expertise to manage suppliers, partners and vendors.

The full-time position will be remote from Monday to Friday until September. From October to December, candidates will be required to be on-site based on market hours, which include evenings and weekends.

Roles and Responsibilities

  • Act as a first point of contact for all suppliers and vendors;
  • Assist in developing and maintaining a detailed production schedule, coordinating activities and timelines with relevant stakeholders;
  • Establish and maintain effective communication channels with suppliers to address any operational issues or concerns;
  • Coordinate with SCM’s partner company to collect required paperwork from vendors and ensure compliance with regulations and guidelines;
  • Oversee the management and distribution of uniforms to staff members;
  • Maintain records of uniform inventory and ensure proper care and maintenance of uniforms;
  • Collaborate with SCM’s General Event Manager in training staff members;
  • Coordinate supplier services and infrastructure during planning, event, and dismantling phases (décor, operations, entertainment, etc.);
  • Coordinate suppliers and vendors move-in and move-out in collaboration with SCM’s General Event Manager;
  • Collaborate with Yellow Dog (inventory management) to maintain accurate records of inventory levels and monitor stock availability;
  • Manage and coordinate scheduling of Hausmeister (handyman) personnel, ensuring appropriate coverage and efficient use of resources;
  • Ensure compliance with operational standards, safety regulations, and customer service guidelines;
  • Oversee third party Operational team of the Front of House (FOH) area, carousel, and information services;
  • Onsite support for sound and stage team in conjunction with VCM Entertainment Coordinator
  • Comply with strict standards of quality and accuracy;
  • Attend training meetings with suppliers and vendors to stay updated on industry best practices and trends;
  • Work hand in hand with other Event Coordinator and be point of contact in their absence.

Requirements and Selection Criteria

  • Curious, Inquisitive, Creative, and a Christmas enthusiast;
  • 1-2 years' experience executing events / festivals in a coordinator role;
  • Bachelor’s degree or Diploma in a related field of study (an event management related degree is preferred);
  • Must have advanced proficiency with software and online tools specifically with the full Microsoft Office Suite. Experience with Yellow Dog (Inventory System), Airtable, and Square would be an asset.
  • Diplomatic approach while working within policies, rules, and procedures;
  • Demonstrative, self-critical, determined approach to completing assignments;
  • Ability to multitask within tight deadlines;
  • Proven experience managing suppliers for events or festivals;
  • Excellent verbal and written communication skills;
  • Attention to detail working with documents and projects during the market;
  • Excellent organizational skills and project management experience;
  • Experience with scheduling and overseeing the activities of large groups;
  • Ability to take projects from concept through execution to final production;
  • Ability to quickly adapt to changing environments, problem-solving skills, and an innovative mindset including exercising good judgment and decision making;
  • Must be available evenings and weekends during event;
  • Second Language (German) an asset;
  • Valid Driver's license;
  • Ability to lift up to 40 pounds and work in an outside environment for long periods of time.

Essential Functions :

The primary job responsibilities include :

  • Partner with Project Management, Quality and Supply Chain to identify and qualify new suppliers or vendors
  • Support Project Management, Quality and Supply Chain in the creation and maintenance of raw material requirements and specifications
  • Forecast and maintain materials supply using demand planning tools
  • Minimize inventory while ensuring material availability
  • Monitor inventory levels against identified target levels and planning assumptions and schedule the supply of materials / components to meet production requirements and minimum safety stock levels
  • Day-to-day requisition management and management of deliveries, as required
  • Understand and manage risks to minimize impact on production schedule
  • Take follow up actions in relation to material shortages that affect production
  • Implement all processes to agreed standards and targets and identify and support continuous improvement initiatives.
  • Utilize any Material Requirements Planning system (MRP) or IT system that is in place and ensure that data is accurate and up to date and resolve any issues as required
  • Monitor Bill of Materials (BOM) integrity and support inventory checks to ensure inventory accuracy

Additional responsibilities :

  • Generate and communicate supplier material delivery schedules and forecasts to ensure they reflect requirements and meet demands

  • Facilitate the resolution of any supplier concerns or disputes to prevent supply disruptions

Educational Requirements :
