Job Responsibilities

  • Manages team s purchasing card (Pcard) expenses and invoices; manages the on boarding of new vendors into OneGL.
  • Maintains event spend for both calendar years that events straddle.
  • Creates and maintains event project plans in SmartSheet.
  • Maintains / Organizes registration reports and tracks all events and broker attendance.
  • Provides general office support, including but not limited to : namebadges, PowerPoint presentations, survey result compilation, executive briefing book production, shipping, storage closet maintenance, etc.
  • Assists with internal team meetings, tracks project deliverables, distributes meeting material, and provides administrative support across Marketing as needed.
  • Oversees activity in team s mailbox.
  • Assists in event support across GRS as needed.

Preparation, Training and Experience

  • Bachelor s degree or equivalent.
  • Strong project management skills, with high attention to detail.
  • Proficiency with MS Office products, especially Excel; Smartsheet skills preferred.
  • Strong communication skills (both written and verbal)
  • Ability to quickly learn and utilize event-related technologies.
  • Demonstrated ability to organize multiple tasks simultaneously, shift priorities, and manage multiple stakeholders expectations.
  • Customer-centric team player who consistently demonstrates strong interpersonal skills.

As the Event Coordinator, you will be the first point of contact for our guests looking to book our event spaces, and are responsible to deliver amazing and prompt guest service.

You are also responsible for being an expert in our food and logistics. You will handle intake of all event inquiries, correspond with the guest to meets their every need, finalize a contract, communicate to the team, and execute the event.

This is a Full-Time position, requiring 30-40 hours weekly, with the expectation that you will be on-site for these hours.

Your first priority is booking events and overseeing their execution. Your secondary priority is to build relationships with our potential clients, to that end during the slower periods you may be asked to fill a maître’d role being the first point of contact for potential clients.

You must be organized, professional, prompt, have a sense of urgency and give excellent customer service. This is a customer-facing position, and professional demeanor is expected at all time.

This is a full time position. You are benefits eligible. Compensation packages start with a base hourly ( $25-$29 / hr) and you’ll make commission from everything you sell.

Position major responsibilities :

Demand / Supply Planning :

Develop and schedule production plans (process orders) to meet customer demands while considering available resources, capacity, and lead times.

Collaborate with cross-functional teams, including procurement, production, product management, quality, and logistics, to ensure seamless execution of production plans.

  • Act as critical link between customer service and manufacturing and procurement by scheduling process orders.
  • Collaborate with product management, manufacturing, and procurement to plan for custom orders.
  • Evaluates scheduling priorities needed to support fluctuating demands in sales for the product set they oversee; including collaboration cross functionally as required.
  • Works with Buyer, Operations, Engineering and Management to provide solutions to problems in meeting the Production Plan in order to ensure that the Production Schedule is achieved.

Inventory & Resin Management :

  • Collaborate with the procurement team to ensure timely availability of raw materials and components
  • Manage resin allocation to process orders.

Capacity Planning :

  • Assess manufacturing capacity and align production schedules accordingly. Identify bottlenecks, propose solutions, and work closely with production teams to maximize output and minimize downtime.
  • Facilitate capacity discussions with manufacturing so that planning has best assumptions to build a capacity constrained plan.
  • Coordinate closely with the OPUS production team to fulfill production plan as scheduled.

Continuous Improvement :

  • Identify opportunities for process improvements, efficiency enhancements, and cost reduction. Implement lean manufacturing principles and tools to streamline production processes, reduce waste, and improve overall productivity.
  • Lead crisp and concise meetings that are effective at defining the constraints, identifying root cause, identifying mitigation needed, and telling the story accurately.
  • Understand root causes related to deltas; drive cross functional alignment and collaboration across the entire site for metric performance / operational excellence.
  • Cross train on other product lines as needed & act as backup for other planners.

Performance Monitoring and Reporting :

Track and analyze key performance indicators (KPIs) related to production planning, such as schedule adherence, on-time delivery, and inventory accuracy.

Prepare regular reports and present findings to management, highlighting areas for improvement and proposing actionable solutions.

Maintain relevant performance metrics; create and drive appropriate action plans to manage performance.

Risk Management :

Identify potential risks and develop contingency plans to mitigate disruptions to the production process. Anticipate challenges, such as material shortages or equipment breakdowns, and take proactive measures to minimize their impact.

Compliance and Documentation :

Ensure compliance with relevant regulatory requirements, safety standards, and quality control procedures. Maintain accurate and up-to-date documentation of production plans, work instructions, and standard operating procedures.

Qualifications

  • B.s. degree or equivalent experience; degree in supply chain management / operations a plus.
  • 1-3 years of production planning and / or supplier management a plus.
  • Six-Sigma, APICS, CSCP, CPIM or similar certification a plus.
  • Understanding of the basic principles and operations of ERP systems and the integration of company functions provided by an ERP system SAP a plus.
  • Understanding and evaluation of the contents and calculations on the MRP (supply vs. demand) display or report; including how safety stock influences calculations of projected on hand balances in MRP.
  • Basic knowledge of capacity requirements planning (CRP); Detailed CRP knowledge (work centers, labor and machines, routings, setup times, run, standards and move times).
  • Ability to translate incoming materials schedule into a rough-cut capacity plan, proactively identify gaps in that plan, and escalate appropriately.
  • Working / intermediate skills related to data extraction, data analysis and use of Microsoft Excel, PowerPoint and Word.
  • Excellent problem solving, critical thinking and collaboration skills.
