Essential Duties and Responsibilities

  • Coordinates and communicates details of internal events and meetings with the McCormick Place Operational Departments.
  • Consults with clients to determine objectives and requirements for their event.
  • Prepares pre-event planning documents and instructions using event software.
  • Provides clear, concise, and timely communication of directives to other departments.
  • Implements facility rules, regulations, policies and procedures.
  • Directs all facility staff in delivering facility services for events and resolves event related problems.
  • Assists with preparing pricing estimates for meeting.
  • Ensures compliance with all facility and appropriate governmental rules and regulations by the event planners and all service providers working on the event.
  • Develops and maintains strong relationships with internal meeting clients to assist in their planning, anticipate their needs and problem-solve on site.
  • Administrative support for the Director and Event Management Team to include show management documents and department records.
  • Performs other duties as assigned.

Education and Experience

  • Bachelor’s Degree from four-year college or university.
  • 1 to 2 years related experience and / or training.
  • Or equivalent combination of education and experience.
  • Working knowledge of the principles of facility management, services and equipment for a similar facility.

Skills and Abilities

  • Exceptional communication skills both verbal and written.
  • Excellent organizational, planning and problem-solving skills.
  • Professional presentation, appearance and work ethic.
  • Ability to prioritize multiple projects.
  • Ability to coordinate the work of others in delivering various facility services.
  • Ability to adjust work schedule to coincide with events.

Computer Knowledge

To perform this job successfully, an individual should have knowledge of Spreadsheet software and Word Processing software and be proficient in Microsoft Office Products (Word, Excel, PowerPoint and Outlook).

Previous experience in EBMS a plus.

The Street Team Coordinator will work alongside the Sr. Director, Marketing and Marketing Coordinator to plan and execute all grassroots programming and activations to promote the all-new Chicago Street Course race weekend, July 1-2.

Note - This is a seasonal position for the Chicago Street Course event.

Duties :

  • In conjunction with Marketing team, manage the logistics and operations of in-market event functions including layout, collateral, prize management, prospecting, data management and impact.
  • Manage the Chicago Street Race Promo Car, Simulator & Trophy program, planning the appearance schedule, coordinating event logistics, developing a prospect conversion plan, maintaining relationships with event contacts and delivering a positive experience for fans and partners
  • Assist with planning as needed including booking entertainment, securing décor, handling contracts & COIs, coordinating schedules and managing any other needs.
  • Maintains inventory logs of prizes, collateral and support items needed.
  • Support in the planning and execution of race weekend programming
  • Other duties as assigned

Qualifications :

  • Sports marketing or event management experience a significant plus
  • Self-starter who takes initiative and is able to take a project from start to finish
  • Strong ability to think strategically, creatively and quickly
  • Detail-oriented and organized with outstanding communication skills

WHAT YOU’LL DO

Direct, plan, coordinate and execute event and event details for large onsite and offsite client events. This includes, but is not limited to : Plan, manage, and execute operations and logistics for each event such as event registration, order food / beverage, AV, transportation, etc.

Ensure the event is consistent with client branding Research, negotiate, and secure contracts with venues, event organizers, contractors, hotels, and outside creative agenciesDevelop and maintain relationships with vendors including restaurants, conference venues, caterers, florists, etc.

Manage the event and work quickly to resolve any problems that arise

  • Create, maintain, and execute the event budget within the pre-approved expenditure allotments
  • Evaluate an event’s overall success and share findings with the manager
  • Manage entire event process and work with event team to ensure all events are staffed, recaps are sent after all events, event ROI management, proactively create demos for events, and have back up plans in place in case any problems may arise

WHAT YOU’LL BRING

Experience and Education :

  • 4+ years experience in event planning and coordination, including large-scale events
  • 2+ years experience in managing multiple clients or client accounts
  • Bachelor’s Degree in Marketing, Communications, Business, or equivalent experience, preferred
  • Virtual event experience (security, registrations, platform design, invitations)
