  • Support North America Events team with logistics and execution of events.
  • Provide on-site event support, as needed.
  • Responsible for researching, vetting, and working with outside vendors including caterers, florists, entertainment, décor, gift ideas, DMCs, restaurants, transportation, and venues.
  • Assist with hotel sourcing with AIG’s third-party vendor
  • Manage hotel rooming list and delivery manifest
  • Monitor the North America General Insurance inbox, as needed
  • Assist with travel logistics and onsite office set up for North America Events team
  • Coordinate premium orders
  • Inventory supplies and branded items.
  • Book conference rooms and schedule meetings.
  • Pack, ship, and track event supplies and / or collateral to events.
  • Create and print event materials including name badges, tent cards, and dinner cards.
  • Submit guest names to building security.

Database Management & Administration

  • Assist with proofing and editing collateral materials, registration websites, and invitations.
  • Assist with registering all events in Cvent and database management in Cvent.
  • Assist with registering meeting attendees and booking hotel rooms for industry conferences.
  • Manage important spreadsheets and tools to assist with tracking event logistics
  • Maintain North America Events Calendar
  • Develop site visit itineraries.
  • Manage Events Team and Executive Leadership Team Contact Lists.
  • Additional event-related responsibilities for upcoming events to be further defined once on board.

What we’re looking for :

  • Bachelor’s Degree with preferably 2+ years in Event Management, preferably in Professional Services or Financial Services.
  • Must be able to multi-task and be comfortable working in a fast-paced environment.
  • Strong project and time management skills. Must be able to prioritize projects.
  • Proficient in Microsoft Word, Excel, and Power Point.
  • Strong communicator both written and oral.
  • Travel is required; about 25%

The base salary range for this position is $53,000 - $67,000 and the position is eligible for a bonus in accordance with the terms of the applicable incentive plan.

  • Responsibilites;
  • Deliver quality and timely execution and coordination of events from project initiation to completion for trade shows and other internal / external marketing-related events including location, promotional materials, signage, agendas, design of booth properties and graphics, product displays, on-site support promotional materials, and staff, client and vendor lodging.

  • Serve as on-demand support / answer questions for all shows during set up, throughout the show and breakdown times.

The successful candidate will have the following :

  • A bachelor's degree in marketing, communications, or a related field is recommended, but not required.
  • 5+ years of experience in trade show coordination within the Photo / Video / Pro Audio industries.
  • Outstanding organizational and project management skills with strong attention to detail.
  • Ability to multi-task, balance priorities and make decisions quickly.
