Position Overview :
The ideal Administrative Assistant is organized, detailed-oriented, resourceful, professional, and has extensive experience handling administrative tasks.
The Administrative Assistant will join a large team in the Miami and support one or more investment professionals.
Responsibilities of the Administrative Assistant :
- Responsible for maintaining reception areas and receiving all incoming calls
- Process and reconcile travel and expense reimbursement requests
- Coordinate travel arrangements for domestic and international travel, including booking flights, hotel accommodations, transportation, reservations, preparing itineraries, and coordinating meeting
- Maintain detailed calendars, contacts, and databases potentially for multiple professionals, while maintaining accuracy and confidentiality
- Coordinate and set up internal and external meetings including video conferencing, catering, preparing meeting materials and presentations
- Manage sensitive information with the utmost confidentiality
- Other duties as assigned
Qualifications for the Administrative Assistant :
- Proficiency in Microsoft Office Suite required
- Knowledge of Concur and Salesforce preferred
- Excellent written and verbal communication skills
Education Requirements :
Bachelor’s degree is preferred but is not required
