Get to Know the Opportunity

We are looking for an organized and adaptable Administrative Assistant to support general administrative and office functions.

The individual will be responsible for supporting activities for the office, including greeting office visitors, providing catering assistance, supply management as well as providing expansive support for the overall Investment office.

The Administrative Assistant will also be expected to handle calendar organization, the planning of events or meetings, the maintenance of databases and any travel processing.

The Contributions You’ll Make :

The individual will be responsible for :

  • Reception responsibilities (i.e., greeting guests, receive and distribute packages while also handling all mailing). Ensure all guests, meeting, vendors are in our security database and conference rooms are assigned.
  • Coordinating multiple calendars for the team, including updating all meetings, off-sites, calls as well as the Internal Investment and Travel calendars.
  • Coordinating all internal & external meetings. This includes, but is not limited to : Providing assistance to guests during stay, if needed.

Reviewing AV requirements in advance.Assist with reception / office services regarding set-up.Communicate to SD Office of visitors as needed

  • Maintain and ensure adequate supplies are stocked (i.e., stationary and office supplies)
  • Maintenance of office ensure appropriate individuals are aware of an office or IT issues / improvements. Be the point of contact for IT and other vendors / departments.

Maintain a professional and organized office environment in all conference rooms, offices, and kitchen areas.

  • Coordinate all catering (i.e., ordering, set-up and clean-up for events, group meetings and team lunches)
  • Be the team contact which includes being the broker contact in order to coordinate in-person meetings for analysts, client calls or presentation requests.

Responsible for adding all meetings to security, assigned conference rooms, etc.

Minimum Knowledge and Experience

  • Minimum Associates Degree required.
  • 5+ years of relatable experience, preferably in a financial services or investment management environment.
  • Experience utilizing MS Office Products (i.e., Outlook, Excel, Word, PowerPoint, Teams, etc.)
  • Strong verbal & written communication.
  • Organized, with the ability to handle multiple tasks and priorities.
  • Must have the ability to lift and handle packages up to 30lbs.
