  • Promote a consistently exceptional client experience
  • Greet and interact with clients in person and on the phone
  • Maintain client and prospect files in the client database, including current contact information
  • Schedule and confirm appointments
  • Work with the district and office to maintain a marketing events calendar and plan, and assist with marketing events as needed
  • Manage office communications and record-keeping requirements for compliance purposes

Job Description :

Serve as the first point of contact by greeting and welcoming patients and others, (in person, at the check-in desk, or via the telephone).

Responsible for answering incoming calls in a professional manner, and / or checking in / out patients per established protocols.

Responsible for scheduling patient appointments and registering patients.

Required Qualifications :

  • Minimum of 16 years of age required.
  • Demonstrated ability to provide a high level of customer service to physicians, patients and other internal / external customers required.
  • Ability to work professionally with physicians, clinic staff and patients in a timely, confidential manner required.
  • Demonstrated analytical, prioritization and organizational skills required.
  • Demonstrated flexibility and dedication to team environment required.
  • Effective communication skills required.

Preferred Qualifications :

  • High school education or equivalent preferred.
  • One year post-secondary education with coursework in business, medical assistant program or nursing assistant program OR equivalent combination of education / experience in customer service or medical scheduling related capacity (one year of education equals one year of experience) preferred.
  • Nursing Assistant or Medical Assistant preferred.
  • Knowledge of medical terminology preferred.
  • Experience with Microsoft Office, specifically Word and Excel preferred.
  • Depending on the position available, fluency in Spanish preferred.

Responsibilities

  • Provides excellent customer service to any individual presenting to the clinic. Communicates in a positive and professional manner with client / guardian on any registration, scheduling or any other issue related to services at Boys Town.
  • Processes incoming phone calls to maintain provider schedules, completes new client intake forms, registers new clients, takes clinical call information, referral requests, answers client questions, and assists with billing and insurance questions.

Responsibilities

Job Summary :

Under direct supervision, receptionist is responsible for performing a variety of general administrative support duties associated with the patient intake process and performs routine duties within the clinic.

Job Responsibilities :

  • Perform patient check-in at the time of visit and completes all paperwork necessary to ensure the admitting process is efficient and all clinic and regulatory policies are in compliance.
  • Answer phone calls and direct them appropriately.
  • Schedule appointments according to office guidelines.
  • Obtain accurate patient and insurance information, collecting copays (TOS) and deductible amounts.
  • Copy / scan patient access related hard-copy materials (e.g. ID, referrals, insurance cards, etc.) into the correct location in the electronic medical record.
  • Prepare charts for patient appointments making sure all necessary information is complete.
  • Conduct all functions associated with patient check-out including pricing services, collecting patient responsibility payments and scheduling follow-up appointments.
  • Perform duties involving record filing and retrieval and assisting with the filing of registration documentation in electronic medical records.
  • Confirm next day appointments and alert patients as to what documentation is needed, including details associated with time-of-service payment.
  • Follow up with patients regarding the Missed Appointment Policy and send out appropriate communications.
  • Perform other duties as assigned.

Qualifications

Minimum Qualifications :

  • High School Diploma preferred but not required
  • 1 year of customer service experience required
  • 1 year of clinic or receptionist experience strongly preferred
