As the face of our stores, Receptionists are responsible for greeting and welcoming customers in a friendly manner as soon as they arrive at the store.
They keep organized patient records and help patient schedules flow smoothly. They’re the glue to our operations, helping everyone to stay on track.
The role provides prompt, courteous service to customers either on the phone or in person.
- Ensures high quality customer service while following all safety protocols.
- Ensures a smooth flow of customers through the store.
- Answers, screens, and forwards incoming phone calls in accordance with National Vision protocol.
- Processes and understands managed care plans while obtaining document information from the insurance company as needed.
- Provides customers basic and accurate information.
- Schedules and confirms appointments, follow-up visits and classes.
- Files all patient records daily and pulls patient files for the next day's appointments.
- Checks order status and notifies customers when orders are in or of any delays.
- Keeps reception area tidy and presentable with all necessary materials.
- Receives, sorts, distributes daily mail / deliveries and maintains inventory of office supplies.
- Participates in regularly scheduled mandatory communication meetings.

Receptionist Responsibilities include :
- Answers telephone and directs the caller to the appropriate individual. Also, provides information such as community address, directions to the community location, community fax numbers, company website, and other related information
- Greets and directs visitors to the community
- Receives, sorts, and forwards incoming mail
- Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc.)

Job Purpose
To effectively and efficiently check in patients, verify insurance eligibility, confirm and / or reschedule appointments as needed, and collect payments for services provided.
Qualifications
Knowledge, Skills, and Abilities
- Excellent customer / patient service and verbal communication skills.
- Ability to read, write, speak and understand information and effectively present information one-on-one with patients.
- Ability to apply common sense understanding to carry out details written or verbally instructed.
- Basic computer knowledge and experience with dental management software experience. EagleSoft experience is preferred.
- Ability to work in fast paced, patient-focused environment.
- Detail oriented. Dental Receptionist must be aware of and follow insurance plan rules and protocols.
- Interpersonal skills. Sometimes patients are in pain and / or mental stress. The Dental Receptionist should be patient and sensitive to patient emotions.
- Listening skills. Dental Receptionist must be able to listen to patients and other healthcare workers and follow directions from a Dentist or supervisor.
- Organizational skills. Dental Receptionist should have excellent organizational skills; insure all record keeping requirements are fully and accurately completed.

Part Time Receptionist
Stoops Freightliner is looking for a Part-Time Receptionist to handle customer service duties for the front office from 1 : 00 PM 5 : 00 PM, Monday thru Friday.
Duties :
- Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
- Responds to customers in a calm, professional manner, with a focus on meeting customer needs.
- Retrieves messages from voice mail and forwards to appropriate personnel.
- Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
- Answers questions about organization and provides callers with address, directions, and other information.
- Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
- Monitors visitor access.
- Performs other clerical duties as needed, such as data entry, sorting, filing, photocopying, and collating.

- 1 3 years’ experience with a multi-phone line system and fast paced environment

Summary :
The afternoon Receptionist handles all phone calls and walk-in visitors and inquiries. This includes coordinating information, communicating with staff and visitors, handling providing assistance and ensuring a pleasant experience for consumers, their families, and other professional staff.
What you’ll do
- Answer the phone, greet visitors in a professional, courteous manner, route calls, take and deliver messages
- Schedule and reschedule consumer appointments
- Promote Easterseals Crossroads' services to callers (potential consumers, physician offices and other referral sources)
- Type documents and email, make copies, send information via fax; scan documents into electronic medical records
- Receive and secure mail or deliveries, respond to e-mail, sort incoming mail
- Schedule appointments, update calendars
- Maintain the environment including the waiting room, treatment rooms, kitchen, gym, restrooms, and staff offices and monitor and restock supplies as needed to leave the office environment ready to serve consumers the following day
- Implement the safety and security plans and procedures in conjunction with the Easterseals Crossroads HR director
Education and Experience
- One year of previous administrative assistant or receptionist experience preferred
- Post high school education a plus
Knowledge, Skill, and Ability
- Communicate effectively with diverse populations, trilingual in Spanish, ASL, and English a strong plus

Salary Range :
