Job Summary We are seeking an experienced Legal Secretary to join our team. In this role, you will provide assistance to multiple attorneys, providing support and ensuring they are able to carry out their duties.
You will be performing complex and specialized secretarial and clerical tasks, communicate with clients, compile case materials, and a variety of administrative duties.
The ideal candidate must be a professional, highly motivated, detail-oriented and organized individual with a positive can-do attitude.
Must be able to work independently as well as a team player in order to meet the clients and attorneys needs and must have the ability to process routine daily functions while being able to resolve sensitive issues and complex assignments.
Responsibilities
Provide general administrative support such as typing correspondence, pleadings, discovery, copying , mailing, service of documents, ensuring documents are filed with clerk of court (i.
e. getting attorney work product out the door appropriately)
- Advising attorneys of material received when attorney is not in the office
- Schedule motions, depositions, meetings, etc.
- Communicate with clients and witnesses
- Welcome clients into the office and evaluate their needs
- Receipt and docketing of all incoming materials (physical paper and electronic) including properly recording to the Files Directory with corresponding Firmwide Calendar diary entries and invitations for court, hearings, depositions and other dates
- Ensure that case-related documents are well organized and available for review
- Posting time into billing program on a daily basis for receipt of materials
- Assisting attorneys with document retrieval, generation, transmission, etc.
Qualifications
- Must have 3 - 5 years if recent Legal Assistant / Secretary experience in insurance defense and coverage litigation (some appellate experience is a plus)
- Familiarity with legal procedures, terminology, and the court system
- Excellent verbal and written communication skills
- Highly organized with document management experience
- Excellent research skills
- Advanced proficiency with Microsoft Office, including Word and Outlook
- Knowledge of Adobe; formatting documents
- Experience with e-filing and ability to coordinate projects
- Ability to multitask and work well under pressure

FordHarrison LLP, a national labor and employment law firm, seeks a full-time litigation legal secretary / paralegal for its Chicago office.
The assistant will provide direct support to up to three attorneys. This position offers a hybrid work schedule.

$68,000 - $73,000 yearly
Responsibilities :
- Responsibilities of the position include but are not limited to;
- Finalizing correspondence
- Preparing TOCs / TOAs
- Entering billable time

- E-filing (both state and federal)
- Other duties as assigned.
- The assistant works closely with the attorneys’ assigned billing specialist

ESSENTIAL DUTIES AND RESPONSIBILITIES :
- Prepares legal documents and / or general correspondence from printed hard copy.
- Prepares court documents for service to opposing parties and federal and state e-filing documents.
- Drafts writes routine business correspondence as requested.
- Comfortable with document management systems.
- Maintain attorney contact list through Outlook as well as calendar scheduling for court dates, meetings, and travel arrangements.
- Actively maintain court docket and alert attorneys of deadlines.
- Review and revise, expense reports and pre-bills.
- Proactively seek guidance from other resources, i.e., firm-provided resources, attorneys, or management when questions arise from clients or outside vendors.
- Maintain a professional, calm, and pleasant demeanor when speaking with clients.
- Sound judgment and confidentiality are required.
