NATURE AND SCOPE :

Under the direction of the Executive Assistant, the Administrative Assistant plays a vital role in providing administrative support and ensuring the smooth functioning of the office.

This position acts as a key point of contact for internal and external stakeholders and contributes to the overall efficiency and productivity of the team.

RESPONIBILITIES (including, but not limited to) :

  • Coordinate internal meetings : work with Executive Assistant for room set-ups, catering, AV needs, attendees, overall logistics.
  • Coordinate external meetings hosted at the Leadership & Learning Center (LLC) : work with Executive Assistant for logistics, security coverage, custodial needs, vendor deliveries, attendee lists, room set-ups, AV needs, etc.
  • Collaborate with colleagues on project-based work, providing support as needed and ensuring efficient workflow.
  • Maintain office supplies inventory, anticipate needs, and place orders including office supplies, soda, copier supplies and repair, name badges, lanyards, name plates.
  • Manage a timely response to emails and phone calls.
  • Process incoming and outgoing US mail with efficiency.
  • Receive and respond to Y Member calls as needed.
  • Maintain the Workroom and Mailroom with office supply inventory and convenience.
  • Prepare weekly branch courier packs and return distributions.
  • Maintain an LLC Staff list with phone numbers, until automated.
  • Interface with IT staff related to LLC email group for updates.
  • Work with security staff regarding first floor large box deliveries and distribution.
  • Create, update, and maintain physical and electronic filing systems, ensuring accurate and organized storage of documents.
  • Prepare and format various documents, reports, presentations, and spreadsheets using appropriate software tools.
  • Assist in the preparation of invoices and purchase orders.
  • Retrieve and provide requested information, records, or reports to internal staff or external parties as needed.
  • Respond to routine inquiries and provide information to internal staff, clients, and other stakeholders.
  • Assist team members with administrative tasks, including printing, copying, and scanning documents.

REQUIREMENTS :

  • High school diploma or equivalent
  • 2 years of experience as an administrative assistant or similar role.
  • Proficiency in using office productivity software such as Microsoft Office Suite.
  • Excellent organizational and time management skills; multitask and prioritize effectively
  • Strong attention to detail and accuracy in handling documents and data
  • Excellent written and verbal communication skills
  • Strong interpersonal skills; interact professionally with internal and external stakeholders
  • Discretion and integrity in handling confidential information
  • Ability to work independently with minimal supervision and as part of a team
  • Flexibility to adapt to changing priorities and work in a fast-paced environment

PREFERRED REQUIREMENTS :

Certification in office administration

NATURE AND SCOPE :

The Front Desk Receptionist provides premiere service for current staff and individuals who enter the building. A member of the front desk must consistently greet visitors and do general office tasks.

RESPONSIBILITES (including, but not limited to) :

  • Greet visitors and assist with contact person or meeting room.
  • Screen and direct all calls to appropriate contact (to include members, potential members, customers, clients, employees).
  • Monitor visitor access and maintain security awareness.
  • Manage room reservations and cleanliness.
  • Manage parking validations & sign-in.
  • Maintain Break Room AM / Start & PM / Empty Coffee Machine.
  • Monitors Emergency Response System.
  • Respond to emergency situations in a timely and efficient manner.
  • Follow safety procedures and maintain a safe work environment.
  • Maintain daily log, records, and forms (, staff attendance sheet).
  • Answer telephone, record messages and direct calls to appropriate personnel.
  • Record sign-in / sign-out log sheets for tracking purposes.
  • Receive incoming and outgoing mail for distribution.
  • Ensure timely delivery of mail to appropriate personnel.
  • Responsible for ordering and maintaining inventory of office / kitchen supplies.
  • Prepares agendas, information packets and other materials.

  • Assist with Summer Enrichment Program.
  • Draft letters, memoranda, budgets, and various reports as assigned.
  • Plan and implement office systems, layout, and equipment procurement.
  • Assists with meetings and workshops; prepare required materials, makes conference room reservations, arranges for refreshments.

REQUIREMENTS :

  • High School Diploma or GED
  • 1+ years of business experience in an office setting
  • A working knowledge of computers : MS Word, MS Excel, database management.
  • Demonstrates excellent customer service, communication, and time management skills
  • Excellent interpersonal, written, and verbal communication skills
  • Ability to handle multiple tasks, work independently, problem solve and possess effective time management skills
  • Strong customer service skills and personal commitment to service and hospitality
  • Knowledge of administrative and clerical procedures

  • Must be at least 21 years of age
  • CPR within 30 days of employment and maintain throughout employment.

Ergonomics :

This position works under usual good and / or office conditions. The employee is required to work at a personal computer as well as be on the phone for extended periods of time.

Must be able to stand, sit and walk for extended periods and occasionally climb. Must be able to handle, use fingers, grasp and lift objects and packages and reach with hands and arms.

The incumbent must be able to quickly and easily navigate the property / building as required to meet the job functions.

Physical demands include ability to lift up to 30 lbs.

Nature and Scope :

This position supports the work of the Y, a leading nonprofit, charitable organization committed to strengthening community through youth development, healthy living and social responsibility.

Provides excellent customer service at the outdoor aquatic locations. Assist members and guests on the outdoor aquatic facility amenities.

This is not a lifeguard position.

Minimum Requirements :

  • Must be at least 15 years of age.
  • First Aid, CPR, and AED Certification required within 60 days of employment (YMCA provided).
  • Ability to work with diverse groups of people.
  • Six months or more of related customer service experience preferred.
  • Strong customer service abilities; actively looks for ways to assist customers and coworkers.
  • Ability to recognize when a problem has occurred and communicate it to management.

Responsibilities :

  • Professionally communicate instructions to members and guests of the outdoor aquatic facility.
  • Smile, greet, and thank all patrons and guest.
  • Prevents accidents and allows for the enjoyment of all guests through the fair and consistent enforcement of policies, rules, and regulations governing the conduct of individuals using the aquatic facility.
  • Perform first aid when necessary and complete appropriate incident / accident reports.
  • Keep aquatic facility clean, including picking up and putting away equipment as well as daily cleaning tasks.
  • Attends scheduled staff meetings, staff activities and ongoing trainings.
  • Communicates to direct supervisor any concerns, needed repairs, or incidents that may need follow-up.
  • Perform other tasks as assigned.

WORK ENVIRONMENT & PHYSICAL DEMANDS :

  • Must be able to remain alert with no lapses of consciousness in a warm environment with air temperatures of 80 degrees or higher.
  • Must be able to sit or stand for extended periods.
  • Ability to hear noises and distress signals.
  • More than 90% of shift is spent outdoors.
  • The noise level is normal to loud within an active YMCA program environment.
  • Communicate verbally, including projecting voice across distance in normal and loud situations.
