The Position
Qualifications
- Must have a minimum of 2 years’ experience in a law firm or professional office setting
- Must possess strong, clear and effective verbal and written communication skills
- Strong computer skills with proficiency in MS Office Suite and document management systems
- Familiarity with legal documents, docketing, and litigation procedures is a plus
- Ability to work independently as well as part of a team, supporting the office and attorneys
- Must be able to multitask and successfully manage a variety of demands daily
- Must have exceptional organizational skills, attention to detail and a strong ability to prioritize
- Ability to sit at a desk and utilize a computer for the duration of shift
- Ability to lift up to 20 pounds
Responsibilities
- Answer telephone calls, take messages as needed
- Receive incoming court E-filings, save to document management system and circulate to appropriate recipient teams
- Copy, scan and print requests
- Process vendor invoices and check requests
- Calendar deadlines and implement organizational tools to ensure deadlines are met
- Assist attorneys with email / correspondence; draft letters and documents
- Maintain case lists
- Open new client matters
- Manage documents and organize electronic case files
- Respond timely to all inquiries and communications
- Provide general administrative and clerical support as directed
- Other administrative tasks as assigned

The annualized salary range for this position is $40,000 to $50,000. Actual pay will be adjusted based on experience and other job-related factors permitted by law .
Administrative Assistant

Qualifications
- Bachelor’s Degree or equivalent work experience
- Minimum 1 year of experience as an Executive Assistant, minimum of 2 years of experience in a law firm setting, or minimum 3 years of experience as an administrative assistant in a professional services, tech, or equivalent office setting
- Experience using a Document Management system
- Proficiency with Microsoft Office : Outlook, Work, Excel, PowerPoint, and SharePoint
- Experience with data entry or data management a plus
- Experience with web-based collaborative platforms a plus
- Experience with collaboration and work management software a plus
- Experience with team messaging and instant messaging programs a plus
- Experience with email management
- Experience with calendar management
- Experience coordinating meetings
- Experience with direct client and / or customer interactions
- Strong administrative skills with ability to manage a high volume of work
- Superior attention to detail and the ability to meet tight deadlines while juggling multiple requests is critical

Responsibilities
- This role will support a national client services team, and is centered on liaising between a key leadership group with close client contact and the broader national client services team leadership
- Schedules highly confidential meetings and manages highly confidential documents and information
- Managing a complex calendar : the successful candidate will be responsible for using sound judgement in mapping out day-to-day meetings and responsibilities amongst a team of attorneys
- Scheduling and tracking key meeting series, client requests, and project management goals, and working backwards from those deadlines to manage team communications to ensure any deliverables are met
- Collaborating on projects intended to expand communication, document management, data entry, and data management
- Assisting with project management functions and process implementation on the client services team, including : assisting with document preparation, assisting in the implementation and enforcement of process improvements;
and assisting data collection, data entry, and data management
Providing clerical or administrative legal services support as requested

The annualized salary range for this position is $49,000 to $75,000. Actual pay will be adjusted based on experience and other job-related factors permitted by law.
Legal secretary
The Position
Qualifications
- Must have 5+ years Litigation experience
- Must have prior experience with litigation procedures and processes, e-filing, and creating table of authorities
- Familiarity with New York and New Jersey State and Federal court procedures and rules
- Ability to work in a team-based setting with other Legal Secretaries supporting a group of attorneys
- Open to taking on new responsibilities and challenging tasks
- Excellent organizational skills with the ability to integrate into a fast-paced environment
- Excellent typing skills with proficiency in Microsoft Office 2007 (Word, Outlook, Excel)
- Strong written and verbal communication skills
- Licensed Notary
Responsibilities
- Prepare legal filings : format documents, pull exhibits, proofread and redact documents
- Prepare court filings, become familiar with court rules and filing procedures
- E-file court filings
- Open new matters
- Document management and organization, saving to network, indexing for file room
- Retrieve court decisions from Westlaw
- Prepare cover letters for attorney bills
- Input billing information into billing software
- Schedule conferences and depositions, maintain attorney calendars
