Production Department Assistant, Apparel
Position Description
The Production Department Assistant position will play a key role in organizing, coordinating, and processing seasonal information to vendors and management through the production process.
The Production Department Assistant will help to align production team goals across the women’s and men’s business from an operational standpoint through organizing, coordinating, and processing seasonal reporting.

Organizational Structure
The Production Department Assistant will report directly to the VP of Production.
Responsibilities
- Seasonal and liability reportsPartner with Production team members to pull data from system and compile seasonal reportsUpkeep and add to reports including Year Over Year Recap, Vendor Recap, Warehouse Recap and open PO reportsValidate and run seasonal / annual margin reports from AX for both divisionsOversee current liability report and record of past liabilities Schedule monthly liability meetings between Merchandising, Planning and Production teams Schedule monthly replen and contingent fabric review meetings with Planning and Merchandising
- Review and bring to legal team’s attention any variances regarding OFAC and Supplier Affidavits for bulk qualities
- Coordinate with tech team to update seasonal label manuals as needed as well as BOM illustration and label placement to upload into the supplier portal
- Distribute weekly Care Content Report
- Maintain and update the testing manual for garments and fabric
- Supply weekly in-transit report to Quality Assurance
- Maintain and update the quality assurance manual for garments and fabric
- Monitor fit status tracker report
- Department specialist for AX system, Bi reports and AirtableWork closely with IT to trouble shoot issues and discrepancies with system reportsTrain production team on running system reportsDevelop new reports as needed
- Assist in issuing bulk fabric purchase orders to fabric mills and setting up the framework for bulk fabric wip
- Create charts as needed by the VP of Production and / or Production team and help update if neededSeasonal allocation and capacity by division / vendorSustainability tracker all vendorsDelivery improvement tracker per season per divisionVariance chart per divisionVendor capacity and holiday dates per year
- Manage calendar for VP of Production
- Submit expenses through Concur and track team expenses on chart
- Book travel arrangements and assist with trip itinerary
- Assist in coordinating Production team vendor visits to LA Design Studio
- Duties as assigned
Qualifications / Experience :
- Four-year college degree preferred
- 1-2 years of experience in production / manufacturing or related apparel experience
- Experience in Excel, Word related program
- Experience in Airtable, AX and Power BI systems preferred

Production Operations Assistant Manager
THE POSITION

Production Operations Assistant Manager
Location

Organizational Structure
The Production Operations Assistant Manager reports directly to the Manager, Production Operations.
Responsibilities
- Manage and train the Production Operations Team
- Assist the Production Operations Mgr with daily tasks and reporting
- Manage and oversee the data input process for all Master Data in AX for all categories and entities including Style Setup, Purchase Order Creation and Final Costing
- Ensure the timely and accurate input of all changes and updates to all process data listed above by closely managing the Production Ops Team
- Ensure SOX compliance is adhered to / coordinate and provide documentation requested by Auditors
- Help to develop and distribute the Seasonal Market Calendar working with all cross-functional departments
- Collaborates with cross-functional partners to ensure deadlines are met and proactively anticipate issues
- Oversee that the Production Ops team works closely with Planning and Sales to call out oversolds and issue cutbacks without jeopardizing Production deadlines
- Create and maintain all SOPs for the Production Ops department
- Partner with Logistics to continuously manage timely updates of delivery information
- Partner with IT for any systems issues that might arise
- Oversee the upkeep the Assortment Files in AX
- Run weekly reporting to validate all Purchase Order components are correct in
Qualifications / Experience
- Must have a Bachelor’s Degree or equivalent experience
- Must have a minimum of three (3) years of experience in a Production / Operations role
- Ability to multi-task with great attention to detail
- Must have experience managing a Team
- Must be organized and adaptable to assist in multiple projects at once
- Must demonstrate strong verbal and written communication skills
- Must have the ability to work in / with cross-functional teams
- Strong ability to work in a face-paced environment
- Must feel comfortable being driven by deadlines with a high sense of urgency
- Must proactively approach problem-solving
- Must have ability to adapt quickly to changes
- Strong proficiency in Excel and all Microsoft Office programs including Microsoft Outlook
- Microsoft Dynamics AX and other major ERP systems experience strongly preferred
