Position Description :

The Marketing Operations Specialist plays a key role in supporting product and packaging execution efforts, while also providing top tier DME budget management support.

This position works in multiple systems (SAP, Accolade, WebCenter, Impact Analysis) and partners with internal commercial teams and cross-functional partners to execute item level setup on new product and packaging projects.

This position oversees all DME spending activity for assigned teams, and works directly with Budget Owners, Finance, and the Controller's team to correctly plan, spend, and accrue money according to company policy.

  • Ability to collaborate with cross-functional business units, seek common ground and establish alignment on common goals
  • Functional marketing knowledge in product and packaging design / development
  • Experience working with product / packaging vendors / agencies (e.g., tactical design agencies, POS design / production agencies, fulfillment agencies, comp vendors etc.)
  • Overall business knowledge and holistic general management approach
  • Strong knowledge of procurement policies and procedures
  • Strong communication, negotiating, and organization skills
  • Bonus if you have prior experience or knowledge of SAP financial systems or any background in IS, but not required to fill specialist position

Qualifications

Analyst Finance

Position Title : Financial Analyst

Job Location : Hershey, PA

This position must be in office (Hybrid schedule Monday and Friday can be remote, Tuesday-Thursday in office)

Summary :

Financial Analyst role will mainly support owned retail stores in Hershey and Times Square (+$60M in Gross Sales). With minimal supervision, this position will primarily focus on efficient and accurate oversight of accounts payable transactions through receiving, processing, verifying, and reconciling invoices.

This position will collaborate across multiple functions including Warehousing, Supply Chain, Operations, US eCommerce and Merchants to ensure appropriate month end reporting.

Additionally, this position will assist / contribute to system implementation requirements gathering, business analysis, system configuration, testing, and training as it involves The Hershey Experience Finance Department.

The Financial Analyst will work closely with appropriate internal functional staff to document and validate business process requirements regarding functionality, integrations or enhancements to existing financial systems.

This role will have other accountabilities around The Hershey Experience month-end process, including the preparation and posting of journal entries.

This role may be asked to back-up Hershey Chocolate World Cashroom activities, supporting the Cashroom Supervisor and the Cashroom Manager.

Major Duties / Responsibilities :

Summary of major duties :

Accounts Payable

  • Coordinates collection of vendor remittance documentation to initiate account updates via SharePoint Global Vendor Master Form
  • Reconcile invoices against the associated Microsoft Dynamics purchase orders
  • Investigate, research, and resolve all discrepancies by working with internal and external business partners
  • Perform all accounting, coding, reporting, and analysis to ensure payments are processed accurately and timely in accordance with company policies
  • Perform and analyze monthly general ledger account reconciliations in accordance with Corporate Accounting Standards
  • Prepare and analyze journal entries for month end closing
  • Analyze processes, recommend improvements and manage all internal controls

System Requirements

Assist in the development and implementation of new business models from a finance and operations perspective under The Hershey Experience umbrella.

This will require understanding various systems and processes to build efficient and automated financial ecosystems.

  • Collaborate with internal functional staff to understand functionality, integrations, or enhancements to existing financial systems to support overall objects and growth strategies
  • Create and maintain financial business documentation as it relates to functionality, integrations, or enhancements to existing financial systems
  • Creates test procedures and conducts testing for system changes and / or new releases

Track issues / risks and work closely with internal functional staff, vendors, and implementation team to improve processes and efficiencies.

Month-End / Other Accountabilities

  • Backup Cash room Supervisor and Cash room Manager as needed
  • Perform miscellaneous reports, special projects and analysis as required on an ongoing basis
  • Complete system audits to ensure termed employees’ access has been disabled
  • Various journal entry preparations and postings
  • Analyzes and prepares Purchases Reconciliation

  • Chocolate Receiving (HPA / TSQ / Ecommerce)

Chocolate Receiving Update / invoice the Chocolate Receiving purchase order cost of Sales in Microsoft AX to match the same sample sales orders posted in SAP so the inventory cost aligns in Microsoft AX and SAP

Dimensions :

Minimum knowledge, skills and abilities required to successfully perform major duties / responsibilities :

  • Proficiency to Strong skills in Microsoft Excel and PowerPoint
  • Working knowledge of SAP and willingness to learn subsidiary systems
  • Microsoft A / X ERP knowledge a strong plus

Maintenance Planner

Summary :

Under the direction of the Tech Assurance Manager, the Maintenance Planner will serve as a liaison between Maintenance and Operations, with the primary objective of planning, organizing, and coordinating maintenance tasks, ensuring that equipment, machinery, and infrastructure are properly maintained to minimize downtime and maximize efficiency.

The maintenance planner will also create the systematic equipment structure, organize the equipment bill-of-materials, establish all routine, preventive, predictive maintenance activities associated with new or relocated assets coming into the facility.

Responsibilities :

Planning / Scheduling :

  • Initiate, review, and manage work requests.
  • Analyze work requirements and determine materials, equipment and labor required (such as blueprints, tools, parts, and trades skill requirements) to complete the work effectively and efficiently.
  • Responsible for removing nonproductive or reactive time from the maintenance workforce.
  • Ensure that all planned maintenance work is ready to be performed with no delays. This includes the labor requirements for the execution of the work and ensuring all parts and specialty tools are kitted and available as needed.
  • Partner with Production Planning to stay up to date with production changes and modify the maintenance schedule accordingly.
  • Work with maintenance staff and tech assurance team to establish a periodic work plan.
  • Ensure the established schedule is communicated to all plant stakeholders. Maintain a complete and current backlog of work orders.
  • Stay well-informed of all new capital or relocated assets coming in to or leaving the facility.
  • Responsible for reviewing the historical asset documentation in SAP, or in the case of new assets review documentation provided by the Project Manager and establish all routine maintenance activities required to maintain the asset.

Relationship Management :

  • Principal contact and liaison between maintenance and operation team
  • Ensure all internal customers receive timely, efficient, and quality service.
  • Help production department balance their need for daily output with their need for equipment reliability through proactive maintenance.
  • Keep the maintenance manager, supervisors, and reliability lead informed of abnormal or critical situations.
  • The Planner will assist in training plant personnel on maintenance management system and processes. (SAP)
  • Work with outside vendors / contractors to schedule and complete any work that requires their services.

Preventative / Predictive Maintenance :

  • Ensure all preventive / predictive maintenance activities are accurate and scheduled at their predetermined frequencies to improve efficiencies and reduce costs.
  • Ensure Preventative Maintenance / Predictive Maintenance (PM / PdM) documentation and required parts / materials are specified, written, procured, and initiated for all new plant assets to ensure PM / PdMs are in place prior to asset commissioning.
  • Ensure that the predictive data returned to the Plant for analysis is reviewed for issues needing further attention and that work requests are written accordingly.
  • Assures all work is compliant with regulatory requirements (OSHA, QA, and plant specific standards).

Maintenance Reliability :

  • Utilize SAP and perform analysis of the data as necessary to improve and enhance plant and facilities operations.
  • Leverage Reliability Leads to help identify and execute improvements throughout the facility.
  • Take part in PM optimization teams and other teams to drive reliability and efficient work practices.

Minimum knowledge, skills and abilities required to successfully perform major duties / responsibilities :

  • Must possess or have the aptitude and ability to quickly develop an in-depth working knowledge of applicable Hershey processes, SAP, workflows, and procedures.
  • Ability to read schematics, drawings and technical manuals and understand complex equipment functionality.
  • Must be a self-starter, detail oriented, highly motivated, and organized with the ability to prioritize and follow through.
  • Must be able to work in a proactive work environment, be an effective motivator, communicator, delegator, and trainer of people, and be able to effectively achieve results through others.
  • Sound understanding of planning and scheduling principles.

  • 2+ years of maintenance planning experience in a high-speed, complex manufacturing environment is preferred
  • Food manufacturing experience is preferred.
  • Prior SAP experience is preferred.
