We are seeking a reliable and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will provide comprehensive administrative support to ensure the smooth functioning of our organization.

Your role will involve a wide range of tasks, including managing correspondence, coordinating schedules, organizing meetings, and maintaining records.

The ideal candidate is a proactive problem solver with excellent communication and organizational skills.

Responsibilities :

  • Manage incoming and outgoing correspondence, including emails, letters, and phone calls, and ensure timely responses.
  • Prepare meeting agendas, minutes, and presentations, and distribute them to relevant participants.
  • Maintain accurate records and files, both physical and electronic, ensuring confidentiality and easy retrieval.
  • Handle administrative tasks, such as data entry, document preparation, filing, and photocopying.
  • Monitor and order office supplies, ensuring adequate stock levels.
  • Provide general administrative support to team members, including printing, scanning, and faxing documents.
  • Assist in managing office expenses and processing invoices.
  • Greet and assist visitors, ensuring a positive and professional experience.
  • Collaborate with other administrative staff to streamline processes and improve efficiency.
  • Perform other duties and responsibilities as assigned by management.

Requirements :

  • High school diploma or equivalent; additional education or certification in office administration is a plus.
  • Excellent written and verbal communication skills.
  • Strong organizational and time management skills, with the ability to multitask and prioritize effectively.
  • Attention to detail and a high level of accuracy in work.
  • Strong problem-solving skills and ability to work independently.
  • Professional demeanor and ability to maintain confidentiality.
