Executive Assistant
Schneider Electric is looking for an Executive Assistant in the Boston, MA office. The expectation for this role is to be onsite at the Boston, MA office.
The Executive Assistant provides high level administrative support for our Chief Information Officer located in Boston, MA.
The position requires discretion, confidentiality, broad and comprehensive experience, skill and knowledge of the organization policies.
Manages calendar, travel arrangements & expense reports Gather, compile, verify, and analyze information for the executive's use in documents such as memos, letters, reports, speeches, presentations, and news releases.
Facilitate smooth communications between the executive and other internal SE team members and between the executive and external parties such as media, customers, and the public.
Analyzes problems, determines approach, compiles and analyzes data, and prepares recommendations Will have access to the email accounts of supported staff to schedule their appointments and answer or redirect inquiries from internal or external sources.
Participate in meetings, take notes, prepare materials, organize correspondence & document. May be required to update and / or order office supplies May coordinate activities between departments and outside parties especially when working on setting up events such as team meetings or regional conferences Compiles and analyzes information for inclusion in reports or presentation materials, prepares charts, graphs, or tables as necessary.
Advise, support, assist, coordinate, and collaborate on special projects which are highly complex, and involve creation and oversight of multifaceted teams.
Could support M&A activities while maintaining confidentiality & discretion Handles details of a highly confidential and critical nature.
Must have the ability to be a 'Jack of all trades'. Must be able to juggle many tasks simultaneously. Must be able to plan, prioritize, and manage the multiple tasks that have been assigned to him / her before their deadlines.
To save time, he / she will be expected to delegate the responsibility for efficient and time-bound management of activities.

Executive Assistant
Schneider Electric is searching for an experienced, reliable, and task-oriented Executive Assistant. The Executive Assistant will support two executives in our Global Marketing Organization and will be responsible for performing a number of administrative duties as well as supporting the Analyst Relations programs.
The ideal candidate is highly self-motivated, professional, and capable of managing their workload and prioritizing tasks in a fast-paced corporate environment.
Main responsibilities for this position : Proactively manages complex calendars with competing priorities to keep executives abreast of meetings and tasks, and to ensure s / he has the information necessary to effectively navigate through their day.
Schedules activities and meetings and manage the Executives’ calendars Coordinates meetings, spotting opportunities and resolving conflicts.
This includes finding synergies with other executive calendars and making recommendations for meetings with other leadership team members.
Uses good judgment on when to involve the Executive in resolving competing priorities. Handles all administrative matters related to meetings, including booking meeting rooms, arranging catering, gathering supplies, ensuring room is equipped appropriately, etc.
Arranges travel plans including booking flights, hotel accommodation, car rental, and providing appropriate travel directions.
Compiles, completes and submits expense claims accurately and on time. Proactively creates and maintains effective communications and workflow which includes handling of a variety of projects and tasks simultaneously.
Ensures all correspondence adheres to a consistent and professional standard and reflects positively on the Executive and their team.
Manages requests from Direct Reports and others to the Executive, with the ability to differentiate the sense of urgency of the request / need for the Executives’ time and attention.
Responds to telephone, email, and in person inquiries providing general information and referring inquiries to appropriate sources based on a broad knowledge of the Company and the executive team’s priorities and expectations.
Takes a lead role in the preparation of the Executives’ leadership team meetings (including content creation support) and participates to capture key notes and action items.
Organizes output and provides to attendees in a timely manner Assists other members of the executive teams as required. As a member of the Executive Administrative team, will also be called upon to serve as back up for other executives.
Review, action, and distribute all incoming correspondence as well as manage all outgoing correspondence. Determines level of importance and urgency and elevates appropriately Creates / updates departmental files and filing systems, including organization charts, vacation planners etc.
This job might be for you if you have : 5+ years of experience as an Executive Assistance reporting to a Vice President or Sr.
Vice President Experience in a multi-functional, fast-paced environment, preferably at a progressively responsible and / or corporate level Demonstrated ability to work independently under time constraints, manage competing priorities and deadlines, and handle multiple tasks efficiently Strong communication and interpersonal skills, given the significant contact with senior management and external contacts Ability to work in a large, fast-paced, matrixed organization Proficient in Microsoft Office Suites Experience exercising discretion and confidentiality with sensitive company information Previous global experience a plus Let us learn about you!
