Overview :
Prosek Partners seeks a bright, energetic Front Desk Administrator to support the day-to-day of our New York office. This person will work alongside our operations team and must be a polished and enthusiastic team player with a professional 'can do, no task too small'
attitude.
Responsibilities
- Primary :
- Serve as the first point of contact, welcoming all clients and guests and ensuring their
needs are met; answering phone lines
Liaise with members of the operations team as a key part of company's infrastructure to
implement new processes, maintain current ones
Office Calendar Management : Arrange meetings, meals and phone calls both internally and externally utilizing
Outlook, Zoom and iPhone calendar systemsConstruct agendas and calendar details, highlighting key events and requested
meetings. Imperative to stay on top of what's coming up and what needs to be
implemented should any time become available
Meeting Coordination : Work directly with internal team members, account teams and clients as the point
conference rooms
Coordinate internal, culture-building office functions (company off-sites, happy hours, ad
hoc culture events)
- Executive Support Handle calendar management, expense reports and travel as needed for 1-2 executives at the firm
- Liaise with building management for adhoc requests
Additional Support :
Serve as a back-up administrative support to Partners when current executive assistants
are out of the office Arrange internal and external meetings upon requestArrange business travel as neededPrepare and organize important documents as needed
Requirements
- Bachelor's degree from an accredited university
- 0-1 years of experience in an administrative capacity
- Proficient in Microsoft Outlook, Word, PowerPoint and Excel
- Excellent written and verbal communication skills
- Extremely organized and detail-oriented
- Self-starter, able to take initiative
- Must be resourceful and a strong problem-solver
- Works well in a collaborative environment

The anticipated salary range for this position is $45,000-$55,000. An employee's salary is determined by a range of factors including but not limited to relevant experience, qualifications, skills, seniority, geographic location, performance, and business or organizational needs.
The range listed is one component of Prosek's total compensation package for employees. Other rewards may include medical, dental and vision coverage, 401(k) matching, new business commission, paid time off, and other benefits.

What you'll do :
- Act as a "catch all" and back up for the CEO's office and support team
- Responsibilities may include but are not limited to :
- Calendar management : arrange internal and external meetings (in-person / zoom)
- Supporting the personal needs of the CEO (purchasing gifts, arranging deliveries, running errands, etc.)
- Work directly with internal team members, account teams and clients as the point person for coordinating meetings
- Travel coordination
- Manage expenses as it relates to work-related travel, meals etc.
- Manage time entry for client billings
- Ad hoc administrative projects and tasks
What You Bring To The Table

- You have completed a B.A or B.S.
- You have excellent verbal and written communication skills.
- You possess great attention to detail, time management skills and the ability to prioritize tasks.
- You are highly proficient in Microsoft Outlook, Word, PowerPoint and Excel.

NYC Salary : $17.00 / hour
