The Position
The Senior Executive Assistant is responsible for providing an efficient and effective administrative support service to the Country Manager, VP Development Projects and other Australian-based executives to ensure business activities in Australia are delivered effectively.
This will include developing processes and procedures and working with them consistently to enable the smooth integration of operations, projects and corporate activities in Australia and an effective interface with international offices.
This role requires a highly experienced administrative professional who can work in a fast-paced environment and can manage multiple responsibilities.
Key Responsibilities
- Provide efficient executive support to the Country Manager, and other Executive members as required including but not limited to, diary management, expenses, travel and logistics management
- Responsible for the overall office management of the Perth corporate office
- Accountable for the performance and work scope of the Office Coordinator
- Responsible for overall management of VIP visits in consultation with relevant site employees
- Act as the lead coordinator of major corporate events, including Town Halls, celebrations, ceremonies
- Provide administrative support for the production of key corporate documents including power point presentations, correspondence and reports
- Provide meeting support including scheduling, logistical and equipment arrangements, preparing agendas and recording actions
- Support the Executive members with internal reporting activities
- Manage confidential and sensitive information and documentation with appropriate discretion
- Coordinate travel, accommodation, and itineraries for the Country Manager and Executives as required
- Organise expense claims, invoices, and accounts in addition to reconciling credit card acquittal using Concur system
- Assist with the annual budget preparation and management of AOPs
- Coordinate and ensure quality assurance of corporate management activities
- Build relationships with and liaise as required with US Executive assistants to support joint activities
Work Experience / Technical Skill Requirements
- Demonstrated experience working at a senior level in a similar executive assistant / office manager role
- Demonstrated experience in facilities management
- Exceptional organizational skills and the ability to multi-task and prioritise duties
- Strong attention to detail
- Experience in managing junior office administrative staff
- SAP experience preferred
- Concur experience advantageous
- Intermediate to advanced skills in Microsoft Office applications, including Excel and Powerpoint
- Well-developed communication and customer service skills (both written and verbal)
- Demonstrated capability to work collaboratively with various internal and external stakeholders
- Ability to work autonomously and apply initiative
- Complex problem solving and analytical skills
Education / Qualification Requirements

The Senior Project Engineer - Mechanical is a key member of the Sustaining Capital Projects delivery team. This role presents a unique opportunity to participate in the execution of a portfolio of capital projects.
The Senior Project Engineer will work in an open and inclusive environment closely with colleagues in manufacturing, process technology (PT), HSE, contracting & procurement, and other functional groups to deliver safe, cost-effective, and predictable projects that meet or exceed long-range plans for the Lithium Global Business Unit (GBU).
Key Responsibilities
Deliver critical project engineering activities in line with the company project excellency gated process, embracing organisational Values (e.
g., Care, Collaboration, Integrity & Transparency, etc.)
- Conduct all activities in a safe and efficient manner in accordance with organisational policies and procedures. Always, ensuring the welfare of personnel and the protection of assets and the environment.
- Collaborate with the leadership team and key stakeholders, fostering the appropriate due diligence during the front-end development phases of initiatives in the portfolio, ensuring the business opportunity is robust and the project economics are clear.
- Assists Project Delivery Leads (Project Managers) site efforts to ensure proper monitoring, control, and reporting of all contractor activities.
Takes necessary corrective actions to ensure the safe delivery of projects.
- Learn and develop in utilizing the APP framework on all assigned projects. Prepare and present the scope and the study results and recommendations as a part of the APP gate review process, managing delivery challenges as they arise or escalate when necessary.
- Lead a positive HSE culture and liaise with on-site execution teams to drive company expectations. Participate in investigations and development of corrective strategies and actions.
- Coordinates assigned internal and external (e.g., EPC Contractors) resources supporting project development and delivery.
Collaborates with other site functions to ensure the best utilization of shared, site resources.
- Ensure that risks associated with the project scope are identified and appropriate mitigation measures are established, working collaboratively with all internal and external key stakeholders.
- Responsible for safe, cost-effective, and predictable project deliverables that meet or exceed commitments to the GBU.
- Actively participates or facilitates detailed design reviews, constructability reviews, and other value-improving practices (VIPs).
Work Experience / Technical Skill Requirements
- 6 or more years of experience in project delivery, in a petrochemical plant or similar industrial environment
- Minimum of 3 years of brownfield execution experience, working as an Snr Project Engineer or construction representative in a petrochemical or industrial manufacturing environment with a progressive demonstration of experience on capital projects in all stages / phases.
It is preferred that the experience is a mix of time in the office as well as time in a plant or manufacturing environment.
- Demonstrated ability to liaise effectively with the relevant stakeholders, exhibiting patience, flexibility, and adapting to changing circumstances with grace and elegance.
- Significant exposure working in the owner’s team and / or large EPC organizations is highly regarded.

This position will report to the site’s Capital Engineering Supervisor and is responsible for providing mechanical support on multiple site capital projects, from design through construction and commissioning.
Key responsibilities include but are not limited to the following :
- Providing mechanical engineering support for multiple simultaneous projects. This includes a variety of responsibilities, both in-office and in-plant, from design through construction and commissioning.
- Creating Mechanical Construction packages, including work scopes, equipment location plans, plot plans, piping design sketches and equipment designs & specification sheets.
- Applying industry specifications and standards for mechanical design. This includes supporting piping, fixed & rotating equipment, tanks, and relief valves.
- Reviewing externally performed engineering packages, vendor material lists, equipment proposals and drawings.
- Updating and maintaining the Line List and Drawing Database for the entire site.
- Preparing backup documentation to support excavation permits for the site.
- Preparing or coordinating the preparation of construction bid packages, evaluating bid proposals and selection of contractors.
- Performing regular HSE reviews, permit audits and housekeeping inspections.
- Experience with SAP Project Module and other basic SAP transactions is desirable.
- In-depth knowledge of Excel, PowerPoint, and Word is required.
- Knowledge of AutoCAD is desirable.
