Aspiria Event Specialist

The Event Specialist is responsible for executing various events on the Aspiria campus including responding to inquiries, scheduling available spaces, and coordinating guest resources.

This is a full-time hourly, non-exempt position that reports to the Event Director or their designee at the Aspiria campus in Overland Park, KS.

Responsibilities

Provides support for events including securing resources, managing audio-visual equipment, and set up / tear down of scheduled events.

Acts as concierge for events and coordinates meeting guest arrivals, check-ins, and ensures that meetings run smoothly.

Coordinates third-party vendors that support campus tenant engagement and events including the fitness center or caterers and connecting customers with various promotions.

Assists Director with creating various promotional materials on digital channels such as social media, mobile applications, and e-mails.

Assists with coordinating third-party vendor products or services that support campus tenants or events by collecting, tracking, and reviewing all associated contracts and invoices.

Provides back-up member support to Aspiria NOW team members during scheduled vacations or events as needed.

Knowledge, Skills, and Abilities

  • Customer service knowledge such as assessing needs, meeting quality standards, and evaluating satisfaction.
  • General business administrative knowledge such as managing files, answering phones, and maintaining calendars.
  • Basic proficiency with common office equipment such as copy machines and postage meters.
  • Familiarity with basic audio / visual equipment frequently used in conference calls or large presentations.
  • Outstanding communication and active listening skills
  • Solid analytical and problem-solving skills.
  • Ability to process, react to, and solve problems in a timely manner as they arise.
  • Ability to anticipate, diffuse, and detect conflict.
  • Ability to tailor communication style based on the intended audience.

Physical Requirements

  • Regularly required to sit for long periods of time while working at a desk or participating in meetings.
  • Frequently uses hands to perform repetitive motions such as typing or using a mouse to perform work.
  • Ability to see details at close range (within 5 feet) such as on a computer monitor when working with marketing content or sending an e-mail.
  • Ability to lift, carry, or manipulate items up to 20 pounds with or without assistance such as when stocking printer paper, accepting a heavy parcel, or setting up tables for events.
  • Ability to traverse uneven terrain or climb stairs while performing assigned job duties as in when giving tours or moving between buildings on campus.

An employee shall not pose a direct threat to the health or safety of other individuals in the workplace.

Work Environment and Conditions

This role regularly reports to an indoor, climate-controlled office environment for most of the job duties performed. May occasionally travel to local work-related events using a company or personal vehicle.

Potential exposure to inclement weather or temperature changes when moving between buildings or locations.

This position occasionally supports events that occur outside of normal business hours and is required to be available as needed for evenings or weekends.

Experience, Education, and Credentials

Required

  • Previous experience in a customer service role within a hotel, conference center, or similar environment.
  • Basic proficiency with Office365 Suite, specifically Outlook, Teams, and Word.
  • Experience using Canva or similar design tools to produce promotional content for fliers, social media, newsletters, or e-mail campaigns.

Equivalent combinations of education and experience will be considered.
