We are looking for an Executive Assistant to partner with the CEO of Nxt Level. We are looking for a proactive, detail oriented, and persuasive individual to join the company.

The primary goal of this role is to assist the Executive Team, company, and clients to deliver excellent service and consistently exceed goals.

This highly motivated candidate will provide administrative support in a well-organized and timely manner. They will understand at times they are speaking for and with the executive leadership team.

The ideal person is self-motivated with the ability to work independently with a positive mindset.

Key Responsibilities :

  • Complete a broad variety of administrative tasks for the executive assigned including : managing an extremely active calendar of appointments;
  • completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas;

and compiling documents for travel-related meetings.

Research, prioritize, and follow up on incoming issues and concerns, including those of a sensitive or confidential nature

The Executive Assistant also organizes and coordinates executive communication and outreach; and oversees special projects.

This includes client submittals, creating customer reports, handling interview schedules, and any other duty that the CEO needs to support his day to day functions.

Work closely and effectively with the executive to keep them well informed of upcoming commitments and responsibilities, following up appropriately

Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the executive updated

Successfully complete critical aspects of deliverables with a hands-on approach, including drafting emails, personal correspondence, and other tasks that facilitate the executive’s ability to effectively lead

Prioritize conflicting needs; handle matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures

Provides detailed notes and summaries for all meetings and events

Maintain the office of the executive, including large and small details; set-up for select meetings & personal tasks as needed

Help with new employee onboarding as needed.

Maintain office supply inventory, anticipate needed supplies, evaluate new office products, place orders for supplies, and verify receipt of supplies

Ensure operation of office equipment; troubleshoot malfunctions and request maintenance when necessary

Greet visitors and determine access to appropriate parties

Perform other duties as assigned

Proficient in researching abilities including ability to summarize detail for review

Critical thinking skills

Valid Driver’s license with proof of insurance and reliable transportation

Travel

Ability to lift up to 25 lbs
