The ideal candidate will oversee the business and financial operations of the organization. This individual will monitor the organization's economic performance and work closely with the Chief Financial Officer to financially advise internal departments.

This individual will also create frequent financial reports to display economic standing of the organization.

SUMMARY

  • Under administrative direction (1) supports product manufacturing, customer service and administrative functions by analyzing on hand inventories, performing batch ticket transactions, recording key performance indicators, and communicating finished good inventory levels;
  • 2) supports customer service by analyzing historic product sales, current trends, and on hand inventories to plan for and direct the transfer of intercompany finished goods inventory as required and on time;

3) supports product manufacturing and administrative functions by procuring supplies and bulk raw materials; (4) assists in ensuring an accurate count of inventories by monitoring the physical inventory process and by coordinating routine cycle counts.

I. ESSENTIAL DUTIES AND RESPONSIBILITIES

A. Production Scheduling

Supports product manufacturing, customer service and administrative functions by analyzing historic product sales and current trends, on hand inventories, available warehouse space and production methods to produce strategic production schedules.

Results and Expectations :

  • Validates production requirements through the collection, analysis, and summarization of sales information (historic, current and seasonal) and trends as well as inventory levels and warehouse space.
  • Supports operations and customer service by providing timely batch ticket creation.
  • Supports financial results through the accurate and timely posting of batch tickets.
  • Develops recommended stocking levels for all resale products.
  • Produces daily batch tickets for each manufacturing department, which includes; premixes, base products and packaging tickets with special instruction when required.
  • Communicates changes and / or problems promptly to all required parties.
  • Posts completed production into SBT accounting system; analyzes formula changes; corrects used quantities as required.
  • Maintains Batch Ticket Control Log .

B. Stock Transfers

Supports customer service by analyzing historic product sales, current trends, and on hand inventories to plan for and direct the transfer of intercompany finished goods products as required and on time.

Results and Expectations :

  • Maintains the appropriate amount of on-hand transferable and transferred materials.
  • Follows company Stock Transfer Procedure.

C. Procurement

Supports product manufacturing and administrative functions by identifying manufacturing raw materials needs, identifying supplies and arranging delivery.

Results and Expectations :

  • Procures bulk materials by establishing minimum-maximum inventory levels and reordering quantities.
  • Supports the procurement of non-bulk inventory by maintaining open communication with buyers and by exchanging product, vendor, production demand and other necessary information regularly.
  • Reduces raw material and packaging costs by maintaining minimal inventory to support uninterrupted manufacturing
  • Monitors for lowest cost delivery of raw materials and supplies; inspects receiving documentation for compliance to internal controls and procedures.
  • Prepares and distributes management reports by collecting, analyzing and summarizing information and trends.

D. Provides for Accurate Inventories of Raw Materials, Packaging Supplies and Finished Goods.

Maintains an accurate on hand inventory by assisting in the physical inventory undertaking and coordinates routine cycle counts of all inventory items;

prepares initial reports on final inventories and discrepancies.

Results and Expectations :

Physical Inventory : Prepares for and assists in the physical inventory process; provides an accurate initial accounting of inventory through established systems and internal controls;

works with the Plant Manager to arrange inventory personnel and monitor processes; prepares initial reports of inventories and discrepancies.

Inventory Cycle Counting : Maintains accurate counts of inventory by developing, implementing and coordinating routine periodic cycle counts (weekly, semiweekly and monthly);

prepares and distributes reports on discrepancies; works with Plant manager to accomplish goals.

II. OTHER DUTIES AND RESPONSIBILITES

  • Maintains branch activity report; enters daily production, sales, shipping activities, transfers, labor, etc.; forwards required information to Corporate employees daily.
  • Acts as Purchasing Assistant in the absence of Purchasing Assistant.
  • Acts as Non-bulk Buyer in the absence of Non-bulk Buyer.
  • Acts as Shipping Assistant in the absence of the Shipping Assistant.
  • Contributes to team efforts by accomplishing related results as needed.

III. SUPERVISORY RESPONSIBILITIES

This position has no supervisory responsibility.

IV. QUALIFICATIONS

A. Education

  • High School Diploma
  • College courses in accounting, inventory, purchasing and MRP strongly recommended.

B. Skill in

  • Strong analytical ability; the ability to solve basic supply problems; operating a computer terminal, calculator and typewriter keyboard quickly and accurately;
  • production of routine reports and correspondence utilizing computer software programs such as Microsoft Word, Lotus or Excel;
  • maintaining accurate records and controls; speaking clearly and distinctly; understanding pertinent procedures and functions quickly and applying them without immediate supervision;

establishing and maintaining effective relationships with those contacted in the course of business.

C. Physical Conditions

The work performed is normally sedentary in nature. Occasional bending, stooping, reaching, lifting and carrying of boxed files and supplies is required, typically weighing 40 pounds or less.

Manual dexterity is required to operate a computer terminal and ten key calculators.

D. Working Conditions

Special safety requirements, when working in plant or lab, may apply. May be exposed to or required to handle hazardous chemicals.

IV. Supervision Received

Under the direction of the Plant Manager works directly with Accounting, Corporate Buyer, Customer Service Representatives, Plant Manager, Production Manager, Technical Director, Vice President Administration, Vice President Finance, President and Chairman.
