Under general supervision of senior management, this position will perform advanced and diversified administrative duties requiring broad and comprehensive experience, skills and knowledge of organization policies and procedures in support of the unit.

RESPONSIBILITIES

  • Provides professional-level administrative support to leadership, which requires exercise of independent judgment and initiative

  • Process request for travel arrangements and expense statements for In and Out of State travel using the Concur system
  • Maintain and monitor the use of supplies, equipment, and services for the work unit
  • Update files; distribution list and program directories
  • Process and distribute incoming mail
  • Process verification of Eligibility for Public Benefit Affidavit Forms for Adult Education students utilizing the DHS / USCIS - Systematic Alien Verification for Entitlements (SAVE) Program System of Records.
  • Entry of state-sponsored professional development into the Georgia Adult Learner Information System (GALIS).

COMPETENCIES

  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint and Outlook) and G Suite (Docs, Sheets and Slides)

  • Detail-oriented with an ability to work independently and work in a fast-paced, demanding work environment
  • Prior experience working as a State of Georgia employee

Job Summary :

Perform a wide variety of professional, high-level administrative departmental responsibilities including calendar management, travel arrangements, coordination meetings, trainings and conferences, budget and finance management, preparation of personnel documents, contracts / procurement management, and other assignments in line with the mission of the organization.

Essential duties and responsibilities

  • Provide direct administrative support to 2 offices (Office of Behavioral Health Prevention and Federal Grants & Office of Supportive Housing) within the Division of Behavioral Health to include managing an extremely active calendar of appointments / meetings, composing and preparing correspondence, and arranging complex and detailed travel plans and itineraries.
  • Assist with complex duties in the areas of office operations, research, programs, project management, initiation / processing payment of numerous contracts, and consultation for the department.
  • Provide project assistance for initiatives as assigned by the office directors.
  • Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the 2 offices within the Division of Behavioral Health.
  • Serve as a liaison between BH Directors, other DBHDD Directors and Commissioner and Chief level management teams in the coordination of executive meeting and / or gathering and providing program related information.
  • Manage and coordinate a variety of special projects as assigned by the 2 Office Directors within the Division of Behavioral Health and provide leadership to build relationships crucial to the success of the organization.
  • Prepare meeting notices, agendas and relevant materials for various meetings for the 2 offices within the Division of Behavioral Health.

Manage meeting logistics and room reservations; attend meetings and take minutes for distribution.

Research, prioritize, and follow through on incoming issues and concerns addressed to the supported management, including those of a sensitive or confidential nature.

Determines appropriate course of action, referral, or response.

  • Prioritize conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Coordinate and communicate all activities and events for the 2 offices within the Division of Behavioral Health.
  • Ensure agency / departmental communication is disseminated among staff for the 2 offices within the Division of Behavioral Health.
  • Assist with management of the maintenance of office equipment including copiers, printers, fax machines and etc.
  • Process and track the ordering of office supplies and various invoice payments (i.e. Verizon, Interpreter Services, PGI, RICOH and etc.

  • Manage and coordinate human resources activities such as preparing and submitting personnel and position actions, organizing and maintaining personnel records.

  • Provide, coordinate and schedule appropriate orientation for new hires for the 2 offices within the Division of Behavioral Health.

  • Develop and / or revise procedures and processes to maximize operational efficiency and adjust to changing demands.
  • Provide successful training and / or assistance to the 2 offices staff within DBHDD as needed.

JOB DESCRIPTION :

Under limited supervision, this position performs a variety of specialized receptionist and administrative support functions for the Northern Operations group of Georgia Quick Start.

Duties include operating the front desk greeting visitors, directing guests to appropriate conference or meeting facilities.

Incumbent will also provide administrative support for Directors as well as staff personnel. This is a highly visible position that requires the individual to possess and maintain a positive, courteous, and professional presence in the daily work environment.

RESPONSIBILITIES :

  • Maintain positive, courteous, and professional presence with co-workers and customers in a fast-paced and complex training environment.
  • Operate front desk to greet visitors, direct guests and respond to questions, requests or other needs.
  • Monitor security cameras, building access and individuals entering the training center and ensure someone is available to escort the individual when necessary.
  • Provide administrative support to assist Directors and other training center staff as required.
  • Enter training data into databases, other electronic forms and maintain computer files and records. Review data correctness and clarify data that appears inconsistent or erroneous.
  • Work with sensitive client, trainee or contractor data and maintain confidentiality.
  • Utilize a variety of software to produce documents, memos, reports spreadsheets, visual aids and other Quick Start correspondence as required.
  • Maintain filing, record-keeping systems along with office supply inventory.
  • Assist to prepare facilities for training, meetings and conferences when required.
  • Receive, organize and distribute training materials to support Athens Training Center and surrounding Northern Operations Group training sites.
  • Assist with schedules for the building, staff and training.

MINIMUM QUALIFICATIONS :
