Financial Analyst

Responsibilities

  • Support producers / salespeople in organizing necessary documentation, contracts, and agreements to support invoicing and commission calculations.
  • Prepare commission calculations for payroll processing.
  • Act as direct liaison between the producers and the Regional Finance Team.
  • Research and produce additional reports as requested (e.g., general ledger reports, aging AR reports, internal breakdowns by producer, etc), as well as provide ad hoc producer support.
  • Assist with creation and submission of expense reports.
  • Salesforce maintenance : tracking deals and pipeline for forecasting; ensure all calculations and data entries are correct.
  • Partner with our centralized Accounting team to coordinate revenue and expense recognition and journal entry reconciliations.
  • Support the Regional Finance Leads in the budgeting and forecasting processes.
  • Effectively communicates corporate timelines, compliance requirements, and the timing of invoice submittals and fee receipts.

Qualifications & Requirements

  • Superior organizational skills; candidate must possess the ability to maintain an organized approach in a multi-task environment.
  • Ability to enter data efficiently, timely, and correctly to meet deadlines; disciplined and able to maintain confidentiality with sensitive information.
  • Accurate and detail work is a major focus of the job, and s need to be handled efficiently; must be able to work within established guidelines.
  • The ability to read a situation for when flexibility is needed opposed to the firm guidelines that are always enforced.
  • Effective communicator with professional written and oral communication skills
  • Ability to take the initiative and do what is needed in situations of ambiguity

Experience & Education

  • 4-year degree in a business-related field is desirable but not required; a significant level of professional experience in a similar role would suffice.
  • Salesforce CRM knowledge desirable, but not required.
  • Experience in the commercial real estate industry is desirable but not required; we will provide industry-specific training to support you in this role.

Brokerage Administrative Assistant

Responsibilities

  • Prepare correspondence, documents, Request For Proposals, LOIs, reports, account invoices, etc. with direction from advisors and / or knowledge of company policies and procedures
  • Provide support for proposals, benchmark analysis and other projects
  • Create and produce market tour materials, presentations, maps, graphics, proposal summaries, surveys, reports and other necessary deliverables
  • Prepare and produce large presentations and tour books, often with a short lead-time
  • Receive Requests for Proposals, dissect the instructions and necessary materials, oversee creation of proposals, create graphics and organizational charts, proofread and polish final version and create hard document based on specifications within in the RFP
  • Map client portfolio locations and employee demographics for site selection analysis
  • Create and design graphics and other creative visual aids for bids, proposals, presentations, marketing materials and documents
  • Prepare, submit, track and process brokers’ expense reports, make travel arrangements, organize meetings / conference calls, calendar management and phone screening
  • Create and edit presentations for prospect / client meetings
  • Assist with gathering research information, building information, maps and pictures for creating building tour books
  • Update and maintain databases to track prospects, clients and deal information

Qualifications

  • Minimum five years’ experience as administrative assistant and preferred two years + supporting multiple people in the commercial real estate industry
  • Two-year or four-year college degree
  • Strong computer and Internet skills; high-level knowledge of MS Office, InDesign, Adobe Photoshop, Adobe Illustrator, Corel Draw, Prezi, Winstack, Salesforce, Costar
  • Excellent interpersonal skills with ability to communicate professionally in a cross-team and cross-department function, through both verbal and written communication
  • Commitment to excellence - perform duties at the highest level possible on a consistent

basis, with attention to detail and in accordance with corporate protocols

  • Sensitivity to confidential matters is required
  • Ability to work in a fast-paced environment; self-starter with very strong organizational skills

Responsibilities

  • Assist with full understanding of client goals and expectations, project scope, and resources that will be required.
  • Assist brokers and clients during the real estate process to analyze solutions and make recommendations.
  • Creating and delivering presentations on project goals and plans.
  • Manage client interaction and develop positive relationships for a smooth design and construction process.
  • Working with users on project priority, scope and delivery; reviewing complex data to define and assign project tasks to team members.
  • Obtain and negotiate proposals for services including design, construction, furniture, cabling, security, relocation and other project vendors.
  • Prepare status updates and progress reports for client and management.
  • Provide timely updates at all stages of the project.

Skills Required

  • Bachelor’s in Construction Management, Engineering, Interior Design or Architecture.
  • 5+ years of related experience is desired. Real Estate industry experience is a plus.
  • Team player who possesses a positive attitude and good work ethic.
  • Ability to bring all parties together with excellent communication skills, working with the project team including the client, construction manager, client vendors, landlords, administrative staff and design team.
