Receptionist

PRIMARY OBJECTIVES / JOB SUMMARY

Responsible for answering and directing incoming phone calls. Greet customers as they enter the Collision Center.

ESSENTIAL RESPONSIBILITIES / JOB FUNCTION Other duties may be assigned as necessary

Ensures that every customer is greeted and welcomed promptly, professionally and in a welcoming and friendly manner via phone or in-person.

Answer phoneswithin the first 3 rings and directs all calls to the correct individual.

Schedule appointmentsand pick-ups.

Provide updates to customers and insurance companies on the status of vehicle repairs.

Document and update customer records based on interactions.

Receive vehicles when they are dropped off.

Deliver vehicles to customers when they are picking them up.

Accurately manage a cash drawer.

Process payments.

Communicate with insurance companies.

Provide outstanding customer service to internal and external customers.

Other duties as assigned.

SKILLS / REQUIREMENTS

High School Diploma or equivalent required.

1-4 years of receptionist or customer service experience strongly preferred.

Knowledge of MS Office Suite preferred

Effective communication (written and verbal) and interpersonal skills required.

Ability to work in a high performance, fast-paced team environment.

Ability to adapt to and work effectively within a constantly changing environment.

Previous experience in customer service, sales, or other related fields is preferred.

Ability to build rapport with internal and external customers.

Ability to prioritize and multitask.

Positive, welcoming, energetic, and professional demeanor.

Excellent written and verbal communication skills.

Customer Service Representative (CSR) serves as the first impression of Classic Collision's customer experience.

Responsibilities

  • Ensures that every customer is greeted and welcomed promptly, professionally and in a welcoming and friendly manner via phone or in-person
  • Explain and educate customers on repair process on a high level, including insurance claim information and processes.
  • Maintain a broad knowledge base of insurance partner requirements regarding authorizations, billing, and load level processes
  • Coordinate Rental Car / Tow companies to provide one-stop service to all customers
  • Ensure all vehicles are delivered to customers by the assigned service advisor and if not available, by designated backup teammate
  • May assist in customer communication throughout the repair process
  • Monitor DRP assignments, estimate / repair appointments and capture rates of assignments
  • Follow up on all DRP assignments present and past to maintain sales for the center
  • Maintain DRP logbooks and Enterprise ARMS daily
  • Secure proper payments
  • Assist with reconciling invoices to payables report daily and monthly (as applicable)
  • Ensure all customer comfort items are always fresh and available for customers as well as maintaining the customer waiting area
  • Perform other administrative tasks and duties as required to successfully meet the needs of the business
  • Other duties as assigned

Qualifications

Must be at least 18 years of age

Previous experience in customer service, sales, or other related fields is preferred.

Must have a valid drivers license and be eligible for coverage under company insurance policy

  • Effective communication (written and verbal) and interpersonal skills are required.
  • Organization and multi-tasking skills, good time management, and the ability to adapt easily to fast-paced environment

Responsibilities

  • Assigning repair work to technicians and supervising the workflow to complete vehicle repairs within specific target dates
  • Provide daily supervision and direction to all production staff members
  • Dispatch all work assignments to production personnel according to ability
  • Responsible for ensuring that all repairs are completed correctly / accurately the first time in adherence with industry and Classic Collision standards
  • Schedule all sublet work in a timely manner
  • Meet with each technician daily to discuss work assignments and schedules creating a plan of accountability and time driven completions for each stage of production.
  • Hold daily team meetings
  • Maintain information within CCC1 to reflect vehicle status. Ensure information is always current & accurate
  • Monitor work quality and provide day-to-day feedback and coaching to technician staff creating a team environment for both body & paint.
  • Other duties as assigned

Requirements

  • Must be at least 18 years of age
  • Experience in auto repair industry or managing a team
  • Advance understanding and knowledge of the repair process / procedures
  • Must have a valid drivers license and be eligible for coverage under company insurance policy
