Executive Assistant to the President
Executive Assistant for the President of RSD & ASD Full-Time PositionWe are looking for our next Executive Assistant to bring support to the President of Resident Shows Division (RSD) and Affiliate Shows Division (ASD).
The main objective of this role is to provide a high level of administrative support and project management, by ensuring projects are on time and follow ups are scheduled in a timely manner.
The ideal candidate will have a dynamic personality and excellent communication skills, with the capacity to manage several projects.
- The Executive Assistant will have the opportunity to : - Support the President and Executive team of RSD & ASD;- Be proactive by identifying potential needs of leaders when requesting support;
- Maintain office services and operations by developing intra-office communication protocols, streamlining administrative procedures and supporting the office reception team as needed;
- Draft presentations, correspondence and other communications from leadership for delivery to internal and external partners;
- Appropriately distribute documents, materials and project updates to division and show staff as needed;- Prepare travel itineraries, and expense reports for the President;
- Book hotel rooms and show tickets for VIP guests of General Management; - Assist the President in reviewing departmental / project budgets to ensure compliance and goals are being achieved;
- Liaise with RSD office vendors including building management, FedEx, Assured Documents, etc;- Assist with planning and coordinating events including, but not limited to : management meetings, Holiday Brunch, vendor receptions, etc;
- Order and maintain supplies for the department and create POs for all departmental expenses; - Update Crisis Communication Plans for the Resident Shows Division;
- Complete all other job-related duties as assigned. What does it take for this role? The following hard skills are the basics of what’s needed to be successful in this position : Bachelor's Degree in business related field;
- At least six years of general office / secretarial experience or an equivalent combination of education & experience;- Ability to work a hybrid schedule, with most days being in the office in Las Vegas;
- Fluent in English, both written and spoken; Fluent in French is an asset;- Strong knowledge of Microsoft applications, especially Publisher;
Working knowledge of Concur and Readsoft;- Attention to detail is key, along with a strong sense of initiative;- Verification of the right to work in the United States for Cirque du Soleil Entertainment Group, as demonstrated by completion of the Form I-9 upon hire and the submission of acceptable documentation (as noted on the Form I-9) verifying one’s identity and work authorization.
