Marketing Coordinator

Job Responsibilities

Typical duties will include, but are not limited to :

Marketing

  • Collaborate with the Programs team to create and implement marketing strategies for ABC’s broad range of programs including Volunteer Lawyers & Professionals for the Arts (VLPA), Arts Board Matching, Periscope : Artist Entrepreneur Training, Education Seminars, Fiscal Sponsorship, and Creative Advantage
  • Generate compelling, engaging written and visual content to effectively communicate the value of these programs for marketing materials, including one-sheets, newsletters, social media posts, and website updates.
  • Promote and market special events, fundraisers, and other community engagement activities.
  • With input from the Programs team, craft captivating stories that highlight the success and achievements of artists, volunteers, and other participants involved in ABC’s programs.
  • Coordinate and disseminate program- and event-related content across identified external channels such as community calendars or other event listings.
  • Assist Programs team in creating and distributing media alerts or press releases.
  • Assist Development Coordinator and Executive Director with creation of Annual Report

Social Media

  • Manage ABC’s social media presence across various platforms (primarily Instagram, LinkedIn, Facebook, and Twitter), ensuring consistent branding and engaging content.
  • Develop and schedule posts, respond to inquiries and comments, and track engagement metrics to inform future strategies.
  • Create and disseminate social media toolkits to community partners and stakeholders to amplify and expand the reach of social media marketing efforts.
  • Monitor social media best practices and new opportunities to best engage with current and new audiences.

Event Support

Assist with on-site marketing efforts such as staffing event tables, setting up signage, or other all hands-on deck functions for programs and events.

General

  • Serve as the front line of the organization by managing all general office communications including main phone line and email address, responding to or routing inquiries appropriately.
  • Uphold ABC’s brand standards across all marketing materials and communications.
  • Maintain a cohesive visual identity and tone of voice that aligns with ABC’s mission and values.
  • Track marketing performance and provide insights to inform marketing strategies and program development.
  • Conduct market research and analysis to identify new opportunities, target demographics, and / or emerging trends in the arts sector.

  • High school diploma or GED required; Associate’s degree or Bachelor’s degree or equivalent experience in marketing, communications, or a related field preferred.
  • Demonstrated experience in marketing, with specific experience in the nonprofit or arts sector a plus.

Environmental Conditions & Physical Demands

The work environment involves everyday risks or discomforts requiring normal safety precautions typical of such places as offices and meeting rooms;

use of safe work practices with office equipment, avoidance of trips and falls, and observance of fire regulations. The Arts & Business Council employs a flexible, hybrid work model with time spent in a temperature-controlled office and / or the employee’s preferred remote work location.

Some work events may be outside or in temperature-controlled offices / venues.

  • Some work outside of typical office hours may be required during the planning and execution of special events. Some light local travel to run errands may also be required.
  • The work environment will require walking, standing, bending and carrying items weighing 1-30 lbs. Also, the employee must have manual dexterity, visual and auditory acuity.

Essential Responsibilities

  • Manages the day to day administrative affairs of the CEO’s office. Schedules all appointments and other commitments. Provides the CEO with background information and / or supporting documents in preparation for scheduled appointments, meetings, speaking engagements, interviews, and presentations.
  • Maintains an efficient flow of information between all levels of the CEO’s internal and external contacts on a wide spectrum of the organization’s plans and priorities.
  • Screens incoming calls to the CEO, determining nature of call and whether or not it requires the attention of the CEO.

Whenever possible responds to caller directly based on knowledge of the CEO’s preferences, office functions, policy, priorities, availability, etc.

Processes all incoming correspondence received in the CEO’s office prioritizing and determining its disposition. Directs mail to appropriate internal staff with instructions and / or suggestions for preparation of reply.

Drafts responses for the CEO’s signature based on knowledge of their activities, interest, priorities, issues, etc.

Reviews, proofreads, and formats all correspondence prepared for the CEO’s signature to ensure accuracy and completeness as well as consistency with organizational policy.

Follows up with staff to ensure deadlines are met. Reviews other prepared documents requiring the CEO’s signature.

  • Makes and reviews all travel arrangements for the CEO; prepares the itinerary, confirms lodging and transportation and processes travel reconciliation.
  • Prepares and distributes relevant materials to Board members in advance of the Board of Directors’ meetings. Takes minutes at Board meetings and provides support to Board committees as needed.
  • Prepares and distributes relevant materials to members of the Women Presidents’ Organization in advance of scheduled meetings.

Provides other support and communications as needed.

Additional Responsibilities

  • Follow up on contacts made by the CEO and support the cultivation of ongoing relationships.
  • Attend YWCA meetings and Board of Directors meetings, serving as backup to Secretary of Board recording attendance and minutes, and represent the YWCA in the community, as requested.
  • Maintains files used by used by the office of the CEO and corporate files of the organization, modifying when necessary and applying rules pertaining to retention and disposition.
  • Responds to and handles confidential and sensitive information with poise, tack and diplomacy.

Education and Experience

Position requires a Bachelor’s degree and three to five years of experience in supporting a senior level executive or an Associates’ degree with more than five plus years of experience in executive assistant related work.

Event Manager

PRIMARY DUTIES AND RESPONSIBILITIES for each event include the following :

  • Logistical planning for events : As Events Manager, this person will manage all the logistical needs for every event including articulating a detailed annual timeline, maintaining a minute-by-minute week-of timeline for each event, packing lists, identifying volunteer needs, acquiring vendors and managing their contracts, securing locations for each event, city, and state permits, and working with all internal departments for the flawless execution of events.
  • Supporting fundraisers for event solicitations : The Events Manager will create a fundraising timeline and communication schedule to inform all Development Team fundraisers when to communicate what details about events.
  • Articulate marketing needs for print products, social media campaigns, email communications, webpages, giving links, press releases, and more.

Will work with the Marketing Department to set a marketing schedule for each event.

  • Manage sponsorship care to execute promised promotions in our sponsorship menu and consider above-and-beyond ways to make our sponsors feel thanked and valued.
  • Tracks sponsorship targets, pledges, and gifts for each event using the current database.
  • Set the program content for each event with the Director of Development and CEO. Help gather the appropriate content to execute the program.
  • Manage event budgets by tracking expenses and bidding out to multiple vendors for each service.

  • Create a communication schedule for recruitment and stewardship of golfers for fundraisers to use.

Manage all vendors including the timing company, course management company, and registration form host (all Start2Finish);

t-shirt company, porta-potties, City of Franklin, police, host site, and more as needed.

  • Manage day-of volunteers and staff. Work with Start2Finish as the primary point of contact on the event day.
  • Set meeting agendas and lead meetings.
  • Organize the logistics of hosting packet pick-up and race day (including event layout, volunteers, rentals, sponsor needs, online registration / check-in form, vendors, etc.)
  • Acquire the t-shirts and any other swag prizes for peer-to-peer fundraisers.
  • Manager VIT (Very Important Trotter) care.

SUPERVISORY RESPONSIBILITIES

Manage volunteers at events and work with Volunteer Manager to acquire them., Supervise vendors for events.
