Position Summary
The Customer Service Specialist 4 plans, organizes and directly manages key administrative and communications functions in the Center for Career Connections (CCC), the RISE Learning Institute, and Bellevue College’s First-Year Seminar (FYS) program.
The RISE Learning Institute and First-Year Seminar programs are part of the Connected Learning Division at Bellevue College.
The Center for Career Connections is housed within RISE and is RISE’s largest operating unit. This position is a key member of the Center for Career Connections, RISE Learning Institute, and First-Year Seminar teams and is responsible for implementing processes and procedures that maximize the functionality of CCC staff, RISE Associate Directors, the FYS Program Chair, front desk staff, and student employees of the college.
Pay, Benefits & Work Schedule
Position Salary Range : $43,848 / year - $58,668 / year
The salary will be determined based on candidate's qualifications and related experience. Individuals newly hired to Classified position are placed in a salary range based on the WPEA Collective Bargaining Agreement.
We offer comprehensive compensation package with salary and benefits as the main components. Competitive salary is within the Range stated above, and commensurate with qualifications and experience.

About the Department
The Center for Career Connections is the largest unit of Bellevue College’s RISE Learning Institute. (RISE stands for Research, Innovation, Service, and Experiential learning).
The RISE Learning Institute serves as a hub for hands-on learning, career exploration, strengths development, and community engagement high-impact practices that benefit all students, but especially students of color, first-generation students, and disabled students.
RISE and the Center for Career Connections are thus at the center of Bellevue College’s efforts to close equity gaps and fuel student success.

Essential Functions
General Administration
- Track annual software licenses and renewals
- Ordering supplies and materials
- Hire and train student employees to work at the front desk and support other CCC / RISE functions
- Maintain staff schedule / office hours for the CCC
- Staff the front desk
- Provide information to the community about CCC and RISE services
- Provide assistance to the First-Year Seminar program, including answering parent / student inquiries, intermittent faculty needs, ensuring consistency in forms and processes across FYS programs, etc.
- Answer email / phone questions from students and community members in a timely fashion
- Maintain the customer relationship management system for online and in-person staff appointments
- Help coordinate and staff events and workshops including room assignments, registrations, set up and break down
- Monitor campus policies and procedures and disseminate to staff
Marketing and communications
- Develop an overall outreach and communication strategy for the CCC, RISE and First-Year Seminar (FYS)
- Maintain CCC and RISE websites to ensure accurate listings of classes and events
- Oversee the development and management of a variety of descriptive materials including handouts, posters, and flyers
- Develop, maintain and update the RISE and CCC social media presence on well-recognized platforms
- Advertise and market RISE, CCC, and FYS programming to internal and external BC communities
- Maintain a monthly calendar of RISE and CCC events, classes, and workshops
- Help develop the RISE and CCC quarterly and annual reports to the community
Data tracking and performance
- Manage the CCC and RISE customer relationship management systems, including MS Bookings and Target X
- Track registrations, enrollments, and completions in classes and workshops
- Track outcomes including customer satisfaction, job attainment, or additional training enrollments
- Manage surveys and other evaluation tools for the CCC, RISE, and FYS
- Compile data into required formats, according to funder / stakeholder
- Identify program needs and improvements from data analysis
- Coordinate with Information Technology Services as necessary

Minimum Qualifications
- Associate’s Degree and at least four (4) years of experience providing administrative assistance to a work division or unity, in or outside of a college setting.
- Experience providing assistance to customers regarding inquiries, complaints, or problems.
- Experience with print, web, social media outreach, and marketing.
- Familiarity with customer relationship management (CRM) software, databases, and scheduling software.
- Demonstrated experience working with diverse colleagues and / or students in a collaborative and inclusive environment.
- Experience providing effective customer service and problem-solving skills in a professional manner and fast-paced office environment.
- Effective verbal and written communication skills including copy writing.
- Proficient in Microsoft tools including Word, Excel, and Outlook.
- Ability to work well in a highly collaborative environment.
Preferred Qualifications
- Bachelor’s degree and two (2) years of progressive experience providing assistance to customers regarding inquiries, complaints, or problems.
- Experience working as an administrative assistant in higher education.
- Familiarity with software including Target X, Microsoft bookings suite, and Handshake.
Executive Director of Finance
Position Summary
Reporting to the Vice President, Administrative Services, the Executive Director for Finance and Auxiliary Services is responsible for the administration of the fiscal functions of the college and select auxiliary service enterprises consistent with Washington State Law, Washington Administrative Code (WAC), college policies and procedures and generally accepted governmental accounting principles.
Fiscal functions for which this position is responsible include Accounting (College, Fiscal Agent Services and Foundation), Accounts Receivable and Payable, Budget Services, Payroll and Purchasing.
Service enterprises reporting to this position include Food Service, Bookstore and the Early Learning Center.
Pay, Benefits & Work Schedule
Position Salary Range : $106,586 / year - $159,880 / year.
The salary will be determined based on candidate's qualifications and related experience. Typically, new hire starts no higher than $119,883 / year based on Bellevue College Exempt salary schedule.

About the Department
The Administrative Services Division oversees four departments (Campus Operations, Public Safety, Finance, Compliance and Legal Matters) supporting the daily operations of the campus.
The division and its departments are responsible for finance and budgeting, public safety, emergency management, public records, contracts and purchasing, legal matters, capital projects, and plant management.
Together, they drive efficient campus operations and ensure the college has the resources and the right setting to support student success.
Essential Functions
Institutional financial strategic planning and management
- Provide strategic financial leadership in the areas of budget development, management, and compliance.
- Develop and deliver new financial tools to improve financial management and oversight by budget authorities.
Financial Compliance
- Analyze and monitor fiscal reports of the college for compliance with reporting requirements.
- Coordinate audit activities in preparation for key financial audits including annual Financial Statement Audits, Comprehensive Annual Finance Report (CAFR) audit, the State Board of Community and Technical Colleges (SBCTC) audits, and any other regulatory agency as needed.
- Work effectively with other agencies or groups necessary to accomplish the goals and deliver the services of the department, SBCTC, the State Auditor, Integrated Post-secondary Education Data System (IPEDS), Operational Risk Management, national, state and local licensing and accreditation agencies.
- Coordinate external reporting to federal, state and local agencies.
Coordination of work and key initiatives
- Direct the coordination of work and projects between the fiscal, budget and auxiliary services work units and other campus departments to ensure accountability for financial and physical resources of the college, accomplish project or service delivery requirements using methods that best meet the needs of the college and comply with applicable legal requirements.
- Develop and implement fiscal, budget and auxiliary services policies, procedures and training that ensure accreditation, licensing, health and safety and fiscal accountability requirements are met.
- Develop, implement and monitor annual and long range departmental goals and objectives, policies, management systems and work processes that facilitate efficient and effective fiscal and auxiliary services.
Supervision
- Apply independent judgment in supervising employees including recruiting, selecting and retaining effective employees, providing training and safety programs, defining work assignment and content, and establishing work rules.
- Conduct or oversee performance evaluations and disciplinary actions and resolve conflicts and other personnel issues.
College Risk Manager
Coordinate and administer Internal Control and Risk Management functions for the college.
Other
Represent the Vice President of Administrative Services as necessary and perform other duties as assigned.
Minimum Qualifications
- Bachelor's degree in finance or related field; relevant years of experience can be substituted on a year-for-year basis.
- Five (5) years finance related experience.
- Five (5) years supervisory experience in finance or related field.
- Five (5) years experience with MS Office, Peoplesoft, or other finance and accounting software systems.

- Related work experience includes work in ethics and compliance, internal auditing, risk or similar functions.

Preferred Qualifications
- Master of Business Administration or equivalent degree.
- Financial or budgeting experience within the SBCTC or similar state agency.
- Experience managing business or auxiliary functions.
- Experience with ctcLink.
- Demonstrated ability to adapt to a changing environment in higher education.

About the Department
The Bellevue College (BC) Maintenance Department within Campus Operations supports the College's primary mission by maintaining internal and external areas of all College Facilities and other assets.
The department works in compliance with local, state and federal laws and agencies by following BC's policies, follows and maintains safety procedures and follow-up Campus Operations program on accidents and safety prevention techniques.
Maintenance main responsibility is to provide satisfactory customer service to all students, faculty and staff within timely manner by finishing daily work request.
Material Resources provides services to the Bellevue College (BC) in the form of mail services, archive records, surplus storage and other related functions that will assist the process for faculty, staff and students at Bellevue College.
Essential Functions
Receiving and Processing Materials, Equipment and Supplies
- Receive, process, deliver parcels, and packeges.
- Receive and process equipment, surplus, furnishings.
- Receive, process, store and prepare confidential records for departmental use and destruction.
- Assist the walk-in customer for all related needs.
Equipment Operation
- Operate a variety of warehouse equipment including pallet jacks, electric walk behind lifts, hand trucks, and motorized carts and forklift with proper training.
- Operate pickup, panel and light trucks up to one-ton capacity.
- Perform routine general maintenance checks on all equipment and report the maintenance needs.
Product Stock and Distribution
- Perform all functions associated with the warehouse operations including receiving, filling orders, stocking, and entering data and conducting inventory checks.
- Other related duties in support of the material resources program.
Inventory and Asset Management
- Perform functions that require receiving, recording, tagging, data entry of equipment, and materials.
- Consult with departments for incoming items that are in need of this process.
Maintain Warehouse
- Collect, receive, store, issue containment materials including hazardous materials (HAZMAT).
- Process,record keeping and proper disposal procedure's of materials collected.
- Keep a clean, safe and organized work space.
Minimum Qualifications
- High School graduation or GED Certificate
- A minimum of one (1) year experience or training involving warehouse operations or equivalent education / experience in a related field.
- Demonstrated physical ability to do the required work, lift up to fifty (50) pounds.
- Basic computer skills such as Microsoft Office (Word, Excel, Outlook).
- Must have a valid Washington State motor vehicle operators license or ability to obtain one upon employment.
- Effective verbal and written communication skills.
- Effective interpersonal and customer service skills.
- Demonstrated experience working with diverse colleagues and / or students in a collaborative and inclusive environment.
Preferred Qualifications
A minimum of one (1) year experience using warehouse equipment.
