As an Executive Assistant with Baird’s Global Investment Banking team, you will directly support a team of senior level bankers relieving them of administrative tasks.

You should exude confidence in your capabilities and have an exceptional propensity for anticipating the needs and preferences of the bankers.

You must be organized, quality focused, highly energized, proactive, and efficient. Additionally, this role will require someone with great attention to detail, as well as advanced analytical and technological skills.

This position will involve frequent interaction with group heads, internal and external clients, and require strict adherence to client confidentiality and maintenance of active projects and critical information.

As an Executive Assistant, you will :

Manage and coordinate various calendars and synchronizing conflicting schedules for team calls, meetings, and events.

Focus on building strong relationships with bankers and peers through collaborative efforts and teamwork.

Maintain data integrity with accurate Salesforce entries and continuous data clean ups.

Arrange domestic and international travel and process, submit and track expenses; stay current on all Travel policies and procedures.

Assist with new hire on-boarding and off-boarding.

Produce high quality emails and messages to individuals at all levels of the organization.

Coordinate with the Conference Center team to reserve conference rooms and catering for internal and external meetings / events, catering, locations, vendors, etc.

We are seeking an outgoing, talented and motivated individual to join our Public Finance team as a Public Finance Coordinator.

The ideal candidate will have a team focus while supporting the deal team in performing critical deal process tasks. This role requires a willingness to learn and the ability to think critically about multiple and diverse functions within the Public Finance team, while maintaining adherence to industry regulations.

As a Public Finance Coordinator, you may :

1. Work closely with all team members throughout the deal process. Actively participate as a member of the team and take on duties as needed.

Responsibilities include coordinating legal, marketing and compliance materials associated with the day of pricing procedures, deal tracking, preparing financial information, updating the electronic deal file and department database and identifying ways to automate routine processes.

2. Communicate consistently and clearly regarding necessary regulatory documentation as part of the deal process to ensure compliance with rules and regulations and successful settlement of deals.

3. Perform advanced word processing, proofreading and editing to database and spreadsheet applications including proposals, presentations, charts, reports and deal specific documentation.

Work with numbers, edit work of team members, and perform basic calculations.

4. Independently research, collect and compile documents and data for special and regular reports, and gather data from various sources.

Analyze data to ensure results are consistent with expectations.

5. Proofread and correct written material for correct grammar, spelling, punctuation, and content. A working knowledge of the business is important and training can be provided on site.

6. Answer incoming telephone calls; provide information or refer caller to the proper staff; answer inquiries requiring knowledge of the department’s overall function.

Plan, coordinate, and arrange for various departmental functions (client meetings, luncheons, etc). Coordinate conferences, team member schedules, submission of presentations and creation of marketing pieces.

Ensure marketing and personnel coverage at industry-specific conferences, conventions, and events.

What we look for :

Create relationships with Baird Financial Advisors and discuss their clients’ estate planning situations. Review documents and research information to answer specific estate planning questions and to create comprehensive, customized estate planning reports for clients.

Activities and duties require a high level of expertise, organization, and personal initiative.

As an Estate Planner, you will :

  • Review client estate planning documents and develop comprehensive, customized estate planning reports and analysis. Help explain the results of the plan to FAs.
  • Work directly with FAs to confirm or complete data in the Estate Planning Questionnaire.
  • Have a thorough understanding of the formal estate planning process and how it relates to an overall financial plan and be able to explain and adapt the process to apply to numerous scenarios, both with individual FAs and as part of firm-wide initiatives.
  • Be able to answer basic estate planning questions from FAs and their clients. For more advanced questions or issues, be able to research an answer and / or direct FAs to the appropriate resources.

This includes questions regarding issues such as beneficiary designations, asset titling, the impact of trusts in planning, tax planning, and trust and estate administration.

Also be able to provide support to teammates and other internal partners on other tax and financial planning-related questions as available.

  • Have an understanding of the products and services offered within a brokerage environment, including life insurance, long-term care insurance, and annuities, and be able to work with representatives of those departments.
  • Serve as a contributor to articles on estate planning concepts for internal audiences and external clients.
  • Work with our internal resources (Operations, Legal, etc.) to ensure policies and procedures are appropriately designed and correctly applied, and offer suggestions on ways to improve.
  • Perform other duties as assigned.
