SERVICE DISPATCHER
Company is looking for a full-time Service Dispatcher to take incoming calls and help facilitate the dispatch of our service professionals to customers in need.
In this role, you are responsible for carefully listening to each caller and obtaining vital information over the phone.
You must ensure that a service team attends to each customer, and you must keep organized notes or records of these calls in our database.
Job Responsibilities :
Answer phones in a friendly and courteous manner, listening carefully and taking detailed notes from customers, inputting information into the dispatch system, scheduling and coordinating calls for a service team of 6, and other administrative duties to include greeting customers and reception duties.
Key Responsibilities (Essential Duties and Functions)
Answer telephone in a courteous and professional manner
- Ensure proper communication with customer to gather all pertinent information for service call
- Create dispatch ticket for all service calls
- Schedule and coordinate all service calls as calls are received for service, maintenance, and project work Dispatch service technicians to daily worksites
- Maintain the dispatch board / schedule
- Enter data into database and Maintain customer history files programs including Excel
- Maintain correspondence / follow-ups with customers
- Computer data entry and updating
- Organize and keep meticulous records of service tickets for billing / invoicing
- Track all service calls and provide service call reporting and metrics to management
- Assist service technicians with information and research as needed
- Create calls for techs for stale FM Check the contract billing to see what meters are missing. Email customer request for meters
Check meters from SDS / REMOTE / FLEETVIEW for billing Request M / R from clients (once, twice or third time reminders)
Check that the meters are uploaded Run contracts for billing
Process the invoices once the meters are entered
Work closely with the service team, office staff, and management to complete tasks, improve efficiencies, and contribute to a cohesive synergistic office environment
Run E Agent to run contracts via email or print out Run the reports for the third-party leases / once ran then upload the contracts to the leasing companies
Check for errors on uploads
- Answer telephones professionally and answering inquiries respectfully and respond to email inquiries in the office
- Additional duties as needed from supervisor Required Qualifications :
Bilingual
High school diploma or GED and a minimum of 6 months of related work experience required
Strong attention to detail
Demonstrate proficiency in MS office products such as Word, Excel, and Outlook
Excellent verbal and written communication, interpersonal and organizational skills
Capable of multi-tasking assignments
Ability to thrive in a fast-paced environment
Organization and time management to manage multiple tasks, sometimes for multiple service calls at once
Must have excellent phone skills
Reliable and dependable
Teamwork - Contributes to building a positive team spirit
Customer Service - Manages difficult or emotional customer situations; Responds promptly to needs
