Internship Overview :

Time Commitment : 20-25 hours per week

Hybrid position : 75% office and 25% remote. Must be located in the Chattanooga, TN region

Responsibilities

Event Management

Assist with pre-event tasks, including managing teams / participants in a software system, and solicit in-kind items (water, fruit, etc.)

Assist with day-of-event operations, including set up, breakdown, and sales and

Participate in weekly meetings to provide updates on assigned projects or

Opportunity to learn and be involved in event timeline tracking and vendor selection and contracting process.

Volunteer Management

Manage a volunteer database and respond to volunteer inquiries with upcoming

Marketing and Collateral

Design or edit slide decks, one-page overview documents, and other supplemental event

Assist with preparing and mailing external

Qualifications

Demonstrated excellence in written communications

Ability to interact professionally in a corporate, non-profit environment and assume responsibility for guiding communications and projects from inception through completion.

Ability to work in a fast-paced, dynamic environment managing multiple priorities involving multiple entities with strong attention to detail.

Basic knowledge of Canva and Microsoft Office is a plus.

Minimum availability of 20 hrs. / wk., Monday-Friday.

Must be legally authorized to work in the United States for any employer without sponsorship, now or in the future. For any roles working remotely, the work must also be performed inside the United States, not in a foreign country.

Responsibilities

Tasks could include things like the following :

Assist in support of National Center and Regions by performing a variety of duties related to general ledger accounting to support daily operations, month end, and year end closing of accounting records.

Assist in preparing monthly reconciliations for assigned entities’ balance sheet accounts and timely research / resolution of reconciling items.

Assist in preparing journal entries coinciding with established general ledger close deadlines including inter-company and association-wide journal entries.

Assist in internal / external audits including preparation of work papers, analysis, and documentation of processes and procedures as needed.

Interact and engage with different stakeholders during the monthly financial close processes and various tasks.

Gain experience in key finance processes of a non-profit organization, with an international presence.

Qualifications

Working toward a bachelor’s or master’s degree in accounting, Finance, Data Science, Business / Administration, Information Systems, or a related field with an interest in finance.

Basic knowledge of Generally Accepted Accounting Principles (GAAP)

Demonstrated skills in effective one-on-one and group communications.

Ability to deal professionally in a corporate or non-profit environment and assume responsibility for guiding projects and programs from inception through completion.

Ability to work in a fast-paced, dynamic environment managing multiple priorities involving multiple entities.

Intermediate to excellent proficiency in MS Word, Excel, Outlook and PowerPoint.

Minimum availability of 20 hrs. / wk., M-F between the hours of 8 : 30am-5pm.

Responsibilities

The Executive Assistant will support the EVP, Strategy Integration & Field / Customer Relations / Volunteerism and the Chief of Staff to the CEO.

Maintains supervisors’ calendars of appointments and makes arrangements for committee meetings, department / staff meetings, task force, working group meetings, and / or council leadership committee meetings.

Executes meeting planning for a variety of meetings, including all aspects of logistics and communications related to the meetings.

Performs record keeping and takes meeting minutes / notes as needed. Prepares agendas and support materials for these meetings as needed.

Prepares and processes all correspondence. Proof-reads and distributes all such correspondence, reports, presentations, etc.

Manages project timelines and deadline compliance, while effectively communicating project statuses and related information as required to achieve goals.

Coordinates calendars, appointments, meetings and conference calls with volunteers and other National Center staff; provides agendas and support materials for scheduled appointments.

Successfully completes multiple duties and projects while managing competing demands and priorities.

Contributes to departmental goals by maintaining ongoing working knowledge of department's budget, policies, and procedures.

Utilizes vendor and / or AHA systems (e.g. E1, COI, Workday, etc.) efficiently and competently to complete duties / projects.

Qualifications

Some college education.

5 to 8 years of work-related experience.

Experience in business administration, office procedures, complex executive correspondence and meeting coordination.

Excellent skills in written, oral and interpersonal communication, including business writing.

Advanced skills in one or more Microsoft Office applications such as Word, PowerPoint, Excel along with the ability to train others on system usage.

Ability to work independently, prioritize work assignments, and meet deadlines.

Ability to work in a team environment and interact with industry, staff, volunteers, and public.

Ability to conceptualize, reason through problems, make effective decisions, and develop alternative solutions.

Accounting experience and excellent math skills, including the ability to analyze numbers and to reconcile accounts.
