Responsibilities :

Welcoming and Greeting Visitors :

Answering and Routing Phone Calls :

  • Professionally handle incoming phone calls, promptly answering and transferring them to the appropriate department or individual.
  • Take accurate messages when necessary and ensure they are delivered promptly to the intended recipient.

Managing Incoming and Outgoing Mail :

  • Receive, sort, and distribute incoming mail, packages, and deliveries to the appropriate recipients.
  • Process outgoing mail and packages, ensuring they are properly labeled and dispatched through the appropriate channels.

Scheduling and Coordination :

  • Manage the appointment calendar, scheduling meetings, and coordinating appointments for staff members.
  • Notify employees of any upcoming appointments, meetings, or visitor arrivals.

Administrative Support :

  • Provide administrative support to various departments as needed, including typing documents, preparing reports, and maintaining office supplies.
  • Assist with data entry, filing, and record-keeping tasks to ensure accurate and organized documentation.

Maintaining a Tidy and Professional Reception Area :

  • Ensure the reception area is clean, organized, and visually appealing at all times.
  • Monitor and replenish office supplies in the reception area, such as brochures, pamphlets, and forms.

Requirements :

  • High school diploma or equivalent qualification.
  • Excellent verbal and written communication skills, with a strong command of the English language.
  • Pleasant and professional demeanor with exceptional customer service skills.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Proficient in using computer software applications, including Microsoft Office Suite.
  • Familiarity with office equipment, such as photocopiers, printers, and phone systems.
  • Flexibility to work occasional evenings or weekends based on business needs.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Provide high level of customer service
    • Conduct pre-assignment of hotel rooms, which includes VIPS, repeat guests, all packages, and any special requests.
