Job Description

The Executive Assistant provides executive support to the Principal. Reporting to the Principal, the Executive Assistant serves as a primary point of contact for internal and external stakeholders.

The Executive Assistant organizes and coordinates executive outreach and supports special projects and initiatives. Additionally, the Executive Assistant coordinates logistics for Principal meetings and events.

The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

As a KIPP Metro Atlanta Schools' Executive Assistant your core responsibilities include :

Principal Support

  • Support the Principal as a "gatekeeper", creating and supporting systems for direct access to the Principal’s time
  • Work closely and effectively with the Principal to keep him / her well-informed of upcoming commitments and responsibilities, following up appropriately
  • Successfully complete critical aspects of deliverables with a hands-on approach, including drafting PPT presentations, acknowledgment letters, and personal correspondence
  • Support Principal with internal communications, announcements, and updates
  • Generally serve as the Principal’s liaison with external contacts managing and responding to routine communications
  • Research, prioritize, and follow up on incoming issues and concerns addressed to the Principal, including those of a sensitive or confidential nature while determining appropriate next steps
  • Coordinate all logistics related to annual meetings and Quarterly Retreats, including location, materials, technology, and food
  • Provide support for other projects and tasks as requested by the Principal
  • Proactively develop systems to increase the organization and efficiency of the Principal
  • Other duties as assigned

Administrative Support

  • Track, monitor, and follow up on projects and action items stemming from the Principal working closely with members of the Leadership Team to receive regular updates on outstanding items
  • Coordinate preparation of, and submission of, meeting materials and documents necessary for effective and efficient collaboration
  • Manage and maintain calendar and proactively identify potential conflicts and coordinate solutions
  • Manage the Principal’s financial reports and reimbursement forms consistent with internal processes and deadlines
  • Process invoices and payments for vendors

Qualifications

  • Bachelor’s Degree required
  • Minimum 5 years full-time related experience supporting C-Level Executives, preferably in a non-profit organization
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint and Outlook) and G-Suite (Docs, Sheets and Slides) required
  • Excellent written, oral, and verbal communication skills with an ability to tailor communications appropriately to audiences
  • Detail-oriented with an ability to work independently
  • Effective time management with an ability to multi-task and work in a fast-paced, demanding work environment
  • Exceptional work ethic and flexibility to work long hours, when needed

  • Draft correspondence and memos on behalf of the president with the highest level of discretion and care.
  • Answer phone for the president and take messages or field / answer all routine and non-routine questions.
  • Create and maintain efficient departmental filing and database management systems.
  • Must have a proven ability to maintain confidentiality and manage sensitive data and information.
  • Must have strong organizational skills and the ability to prioritize multiple competing tasks seamlessly and with excellent attention to detail.
  • Seamlessly coordinate with chief of staff office and senior logistics administrator on continuous basis, including preparation for board meetings and special events.
